Job summary

Alameda Electrical Distributors in Hayward, CA, is seeking a Lighting Quotations Specialist to join our Lighting team. You will handle requests for quotes, manage revisions, and coordinate with sales, manufacturers, and agency partners to deliver competitive quotes and build lasting customer relationships.

Ideal candidates have 2+ years in quotations or procurement roles, strong communication, and solid knowledge of lighting products.

Qualifications

• 2+ years of experience in quotations, administration, project support, or a similar role.
• Knowledge of Cahill, Solar Eclipse and Job Management preferred.
• Proficient with MS Office and ability to handle data entry and documentation.

Responsibilities

• Prepare and issue customer quotations; track progress and enter data into Cahill and Job Management.
• Review quotes for profitability and completeness before issuance.
• Ensure BOM components are identified for each quote and margins are appropriate.
• Collaborate with sales, managers, and lighting reps to determine pricing and margins.
• Coordinate with customers, vendors, and project managers to gather information and respond to inquiries.
• Provide backup support to Lighting Project Managers and sales as needed.

What You’ll Do

As a Lighting Quotations Specialist, you are responsible for handling our customer’s needs from request for quote to quoting the customer. This includes fielding calls and emails for requests, changes, and re-bids. Communication with customers, salespeople, and Manufacture Reps is critical for this role. This position is responsible for problem solving, organization, product knowledge, and knowledge about new products. Additional responsibilities include being able to provide support to Lighting Project Managers and Sales when needed, work with customers to build relationships, and ensure Alameda Electrical Distributors is the go-to for their Lighting needs.

Key Responsibilities

• Required to request manufacturer quotations, track progress of quote, and enter all data into Cahill and Job Management to finalize customer quotation in a timely manner.
• Must review quote for accuracy and completeness to ensure profitability for Alameda Electrical Distributors prior to issuing.
• Must be cognizant of all necessary components required to complete the requested bill of material.
• Partner with salespeople and manager to determine margin based on quotation details, ensure customer satisfaction, and promote future business.
• Work with internal/external stakeholders, manufacturers, and lighting agencies to obtain information for customer projects.
• Answers phone calls an email related to respective projects, ensuring that the messages are transcribed correctly and whether a follow-up action is necessary.
• Review and analyze reports to inform stakeholders, manage business flow, diagnose quotation problems, and advise implications of givendata.
• Responsible for product knowledge, understanding current CA T20/T24 standards, old technologies, new technologies, and new vendor products to help advise customers and stakeholders.
• Maintaining an amicable relationship with all Lighting Reps to ensure AED receives a competitive discount.
• Able to provide back up to Lighting Project Managers and sales, as needed.

Required Experience

• Minimum 2+ years of experience working as a full-time quotation's specialist, administrative assistant, project assistant, or a similar role is preferred.
• Knowledge of Solar Eclipse, Job Management, and Cahill preferred.
• Basic Intermediate or better knowledge of personal computers and peripherals, word processing and spreadsheet software, e-mail, and the Internet.
• Microsoft Suite, including Word, PowerPoint, Excel, Teams, Outlook, OneNote, and Planner.
