JOB TITLE: Legislative Support Specialist

REPORTS TO: Associate Director & AgPAC Administrator

DEPARTMENT: Governmental Relations

COMPENSATION: $55,000-$62,000 Annual Salary

POSITION SUMMARY: The Legislative Support Specialist provides administrative, logistical, and research support for the Governmental Relations department. This position helps coordinate or coordinates legislative meetings, member visits to the General Assembly, AgPAC activities, policy development events, and other internal and external functions. The role requires strong organizational, communication, proofreading, technology, and problem-solving skills, along with the ability to manage multiple priorities, support meetings and events, track expenses and reports accurately, and work collaboratively in a fast-paced environment. The ideal candidate is dependable, detail-oriented, professional, and able to represent the organization positively while supporting advocacy, membership, and legislative initiatives.

Primary Duties

Meeting Support

  • Serves as a liaison with the Policy Engagement Manager to support policy development, regional legislative meetings, resolutions, meeting coordination, location planning, registration needs, and website preparation.
  • Provides support for internal and external functions sponsored by the Governmental Relations department.
  • Manages the scheduling of member legislative visits to the General Assembly.
  • Coordinates agendas and member correspondence for General Assembly visits.
  • Supports other staff coordinating farm tours by coordinating food, transportation, and other logistical needs as requested.
  • Independently coordinates meeting preparations when meeting planner support is not required, including registration, meal arrangements, conference room reservations, audiovisual or video conferencing setup, and hotel accommodations.
  • Develops and maintains a tracking matrix to help evaluate the impact of meetings and related activities.

Administrative Tasks

  • Collaborate with the print shop to complete annual reports, event flyers, newsletters, and other mailing projects.
  • Accurately tracks expenses for lobbying reports and provides support for budgeting purposes.
  • Develop lobbyist disclosure reports and registration for lobbyists
  • Processes and submits bills and deposit receipts accurately and in a timely manner.
  • Drafts accurate, professional emails and letters for events, announcements, and related communications.

AgPAC Support

  • Partners with the AgPAC Administrator to compile legislative information on legislators, candidates for legislative office, and meetings with legislators.
  • Provides administrative support for AgPAC Board of Directors meetings.
  • Coordinates AgPAC packets for the state-level endorsement process.
  • Processes fundraising contributions and in-kind donations accurately and within established timelines.

Legislative Support Specialist

  • Attends General Assembly and regulatory agency meetings on behalf of Governmental Relations staff, taking notes and representing the organization when assigned.
  • Develops working knowledge of assigned legislative and regulatory issues, as directed by the Associate Director.
  • Supports local issue initiatives by conducting research, preparing correspondence, and analyzing issues in comparison with other localities.
  • Prepares background materials and fact sheets on assigned issues.

Additional Duties

  • Proficient and extensive use of Word, Outlook, Excel and PowerPoint to produce materials for internal and external meetings and conferences
  • Prioritizes inquiries and requests of assistance while troubleshooting conflicts with minimal guidance; makes judgment and recommendations to ensure smooth day-to-day engagements
  • Assists organization, when requested, with membership acquisition and promotion of membership benefits
  • Any additional duties as assigned by the Associate Director Governmental Relations
Minimum Educational/Experience Qualifications
  • College degree or equivalent work experience
  • Editorial or proofreading skills
  • Must possess a valid Driver’s License
  • Some travel required
  • Some overtime, weekend meetings periodically needed to support the meetings and administration of AgPAC
Minimum Skill Qualifications
  • Strong organizational skills with the ability to manage multiple projects, meet deadlines, and maintain preparedness in a fast-paced environment.
  • Excellent interpersonal and communication skills, including the ability to work collaboratively, build relationships, and remain professional under pressure.
  • Sound judgment and problem-solving ability in situations with limited information or tight deadlines.
  • Proficiency with Microsoft Office, email, scheduling, database, spreadsheet, presentation, and report-writing applications.
  • Working knowledge of graphic design programs.
  • Ability to assist with out-of-town meetings and occasionally lift or move up to 20 pounds.
