Job summary

Brownstein Hyatt Farber Schreck, in Sacramento, seeks an experienced Legislative Assistant to support busy attorneys and policy professionals in a fast-paced Government Relations team.

Qualifications

  • 5+ years of experience as Legislative Assistant or Executive Assistant, preferably supporting high level attorneys and policy professionals.
  • Excellent organizational and time management skills ensuring routine and urgent tasks are completed on time.
  • Experience handling sensitive or confidential information; able to work with senior executives.

Responsibilities

  • Prioritize commitments and manage calendars, coordinating with colleagues and stakeholders.
  • Book and monitor travel arrangements.
  • Prepare and monitor expense reimbursements.
  • Manage meeting logistics and technology for events and videoconferences.
  • Handle client interaction and provide telephone assistance.
  • Maintain and update contacts, foster relationships with internal and external clients.
  • Prepare materials for meetings by gathering briefing and logistical items.
  • Create and maintain electronic client files and records.
  • Track deadlines and time entries, including billing matters.
  • Draft, format, and revise documents; file notices with government agencies.
  • Support various office projects as needed.

We have an immediate need for a Legislative Assistantto join our Sacramento office. This role is a great opportunity for a skilled Legislative Assistant who thrives in a fast-paced environment while proactively handling the schedules and needs of busy attorneys and policy professionals in the Government Relations Practice Group. The successful candidate will be organized, detail-oriented, and self-motivated, with the ability to adjust to shifting priorities in a busy legal and policy environment.

Essential Duties and Responsibilities:
  • Effectively prioritize commitments and manage calendar, including coordination with administrative colleagues to schedule meetings with internal and external stakeholders, calls, events, and other activities
  • Booking, managing and monitoring travel
  • Preparing, submitting, and monitoring expense reimbursements
  • Deliver seamless engagement experiences by managing meeting logistics, including preparation, distribution, and/or printing of materials, maintenance of calendar invites and RSVPs, greeting guests, and preparing technology (video conferencing, collaboration tools, etc.) in advance
  • Handle client interaction and provide telephone assistance
  • Manage contacts with discretion, including tracking, maintaining updated records, and fostering relationships with internal and external clients
  • Prepare attorneys/policy professionals for a variety of internal and external meetings, by gathering, compiling, and reviewing briefing and logistical materials
  • Records management: create, organize client and internal files
  • Creating and maintaining electronic client files
  • Tracking all administrative and client-related due dates and deadlines, including time entry and billing
  • Drafting, formatting, proofing, and revision of documents
  • Filing notices, statements, and other documents with various governmental agencies
  • Various office projects as needed
Required and Preferred Qualifications:
  • 5+ years of experience Legislative Assistant or Executive Assistant preferably supporting high level attorneys and policy professionals
  • State entities/agencies, law firm and/or professional services experience highly preferred
  • Excellent organizational and time management skills, ensuring both routine and urgent tasks are completed successfully and in a thorough and timely manner
  • Experience applying significant discretion to sensitive or confidential information; prior experience working and communicating with senior executives a plus
  • Strong interpersonal, verbal, and written communication skills, including the ability to maintain open communication
  • A candidate who has the ability to prioritize and manage work load independently would be best suited for this opportunity
  • Strong PC skills are required, specifically in Word, Outlook, Excel and managing Zoom
Compensation and Benefits:

Brownstein offers a benefits package that includes medical, dental, vision, 401k + match, profit sharing, and vacation/sick/personal time off, in addition, this role pays overtime for hours worked above 40 per week. We are offering a salary range for this role from $65,000 - $75,000.
