General Summary
Provides diverse administrative and organizational support to the direct and indirect assigned principal(s) and team. Responsibilities include preparing documents and correspondence, external client contact, and handling routine administrative tasks such as monthly billing. The Legal Team Assistant works closely with the Legal Team Coordinator, Legal Team Assistants, and Administrative Assistants within a HUB model to support practice groups.
Essential Job Functions
- Interact regularly with lawyers, paralegals, and professional staff to facilitate administrative workflows, including occasional contact with clients, counsel, and court personnel.
- Answer phones, transfer calls, take messages, establish conference calls, and manage voice mail.
- Handle written and electronic correspondence, editing and correcting as needed to ensure clarity and professionalism.
- Investigate and respond to client requests, organize and send materials to clients.
- Prepare client bills and cover letters.
- Prepare new matter reports and update lists of client/matter codes.
- Maintain and process client billing for principals, either directly or indirectly.
- Liaise with clients, investigating and responding to requests appropriately.
- Maintain lawyers’ time entries in Carpe Diem.
- Monitor professional development requirements for principals.
- Create and update contact information using Dechert CRM best practices.
- Make travel arrangements and complete travel and expense reports in Concur.
- Manage workflow and coordinate projects with office services.
- Schedule meetings, reserve rooms, coordinate equipment and catering.
- Use MS Office to prepare documents, spreadsheets, and presentations.
- Maintain document filing according to firm standards, including Kwiktag and iManage.
- Review and process administrative and personal charges via BillBack.
- Delegate tasks to Legal Team Administrative Assistants as appropriate.
- Perform other duties as assigned by the principal or Legal Team Coordinator to ensure departmental efficiency.
- Maintain up-to-date handover notes to ensure service continuity during absences.
Knowledge, Skills, and Abilities
- High School Diploma required; college degree preferred.
- At least 2 years of relevant experience; legal secretarial experience preferred.
- High attention to detail, ability to multitask and meet deadlines in a fast-paced environment.
- Ability to handle confidential information appropriately.
- Effective communication skills across various organizational levels.
- Ability to work cooperatively with colleagues.
