Below are the position requirements.

Job purpose

The Team Administrator provides administrative and operational support to the Virtual Assistant Services team, ensuring seamless coordination across projects, communications, events, and scheduling. This role works closely with leadership to support department initiatives and daily administrative needs, contributing to overall team efficiency and success.

As a member of the BELAY Corporate Team, participation in virtual and onsite calls and meetings is expected, serving as an example of the company’s mission: BELAY exists to glorify God by providing solutions that equip our clients with the confidence to climb higher.

Duties and responsibilities

Represent BELAY professionally

  • Model BELAY’s core values, mission, and vision; maintain confidentiality; demonstrate integrity; foster a positive, collaborative environment.

Key Responsibilities

  • Assist with process improvements by identifying operational and communication efficiencies.
  • Use Salesforce as the primary system for tracking client and team activity.
  • Support data input for Client Relations dashboards and scoreboards.
  • File weekly expense reports and track reimbursements for leadership.
  • Coordinate team events and meetings, including logistics and materials.
  • Manage the Frugal Wow client gifting program, tracking details and deliveries.
  • Handle corporate gifting for team members in the Client Relations department.
  • Support onboarding logistics for new hires, including tools, resources, and introductions.
  • Provide general administrative support to Client Relations Managers and team members, including scheduling and documentation.
  • Prepare meeting agendas, document minutes, and follow up on action items.
  • Assist with creating and formatting presentations as needed.

Direct or Support Responsibilities

  • Manage the Director’s calendar, prioritizing appointments based on strategic needs.
  • Coordinate all meeting logistics, including time zones, locations, and agendas.
  • Ensure the Director has adequate preparation time.
  • Monitor and manage the Director’s email; draft and send communications while maintaining confidentiality.
  • Create and format presentation materials, including slide decks for meetings.

Qualifications

  • Bachelor’s degree or equivalent experience.
  • 3+ years of administrative support; Salesforce experience preferred.
  • Tech-savvy, proactive, highly organized with problem-solving skills.
  • Excellent written and verbal communication skills.
  • Professional, detail-oriented, confident decision-maker.
  • Positive, collaborative team player with a strong work ethic.
  • Comfortable working remotely with autonomy.
  • Available during regular business hours, Monday through Friday.

Working conditions

BELAY offers full-time remote work. A dedicated, secure workspace free of distractions is required. Some roles may require travel. This is a full-time exempt W-2 position with our company, which values a vibrant culture and engaging work environment.
