Job description

Thomas J. Walsh is seeking to recruit a Legal Secretary to provide comprehensive secretarial and administrative support to the Solicitors and other staff within the firm. The Legal Secretary plays a key role in ensuring the smooth and efficient operation of legal services through effective communication, document management, and client liaison.

Key duties and responsibilities:

  1. Dictation typing;
  2. Scanning, renaming, and saving post to case management system;
  3. Preparing briefs/booklets for counsel, engineers, and doctors;
  4. Preparation of bills/invoices from case management system;
  5. Following up on payment of bills from clients as appropriate;
  6. Dealing with telephone queries;
  7. Other secretarial and administrative tasks as requested;
  8. Preparation and management of court diary;
  9. Liaising and communicating with other professionals in the legal industry, including barristers, courts staff, etc.;
  10. Operate the main switchboard: answer and direct calls, take messages, and assist callers professionally;
  11. Welcome clients and visitors at the reception;
  12. Record, frank, and dispatch outgoing mail, including delivery to the post office and/or DX;
  13. Check and distribute voicemail messages daily;
  14. Strong organisational skills and attention to detail;
  15. Experience as a legal secretary required.
