About the Opportunity
A leading global law firm is seeking an experienced Legal Secretary to join its Boston office. This position provides high-level administrative and legal support to attorneys and practice teams working with sophisticated clients.
The ideal candidate is highly organized, detail-oriented, professional, and comfortable managing multiple priorities in a fast-paced law firm environment.
Responsibilities
- Prepare, edit, proofread, and format legal documents, correspondence, agreements, pleadings, motions, subpoenas, contracts, and other legal materials.
- Manage attorney calendars, appointments, workflow, priorities, and deadlines.
- Provide day-to-day administrative support to attorneys and practice teams.
- Assist with client billing, including reviewing and editing prebills and coordinating with the Billing Department.
- Open new client matters and coordinate requests for client files and records.
- Arrange domestic and international attorney travel.
- Enter, review, and finalize attorney time entries.
- Maintain accurate electronic and physical filing systems.
- Coordinate meetings, conferences, client visits, and special events.
- Arrange conference rooms, catering, technology support, and Outlook invitations.
- Manage phone communications, contact lists, correspondence, and incoming mail.
- Process expense reports, invoices, and accounts payable submissions.
- Maintain and organize confidential legal documents, deposition transcripts, and records.
- Convert and format documents using Microsoft Word, PDF, Excel, and PowerPoint.
- Provide transcription and dictation support as needed.
- Assist attorneys and practice teams with special projects and administrative requests.
Qualifications
- Minimum 10 years of legal secretarial experience, preferably within a law firm or professional services environment.
- High school diploma required; associate’s or bachelor’s degree preferred.
- Typing speed of 60+ WPM.
- Strong proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
- Experience with legal technology and document management systems such as iManage, Emburse, DTE Time Entry, or similar platforms.
- Experience using ChatGPT, Microsoft Copilot, and/or Claude.
- Strong knowledge of legal terminology and legal documentation.
- Understanding of court filing procedures, including electronic filings.
- Excellent written and verbal communication skills.
- Exceptional organizational and time-management abilities.
- Strong attention to detail and ability to manage competing priorities.
- Professional judgment and ability to maintain strict confidentiality.
- Strong internal and external client-service skills.
- Ability to work additional hours when business needs require.
