Job summary

The Law Office of Randall & Johnson is seeking an intake coordinator to support our California and Utah practice areas. You will handle inquiries, gather case details, evaluate viability, and schedule consultations with attorneys.

You will also manage records and maintain proactive communication with clients and leads. Ideal candidates have 1–5 years in fast-paced roles, strong English and legal writing abilities, and a collaborative, client-focused mindset.

Qualifications

  • Bachelor's degree and/or Paralegal Certificate preferred.
  • Mastery of English and legal language, both written and spoken.
  • 1-5 years of experience in a fast-paced position with multitasking and polished writing preferred.

Responsibilities

  • Handle initial contact: answer calls and emails from potential clients and set them at ease; volume of 40-50 leads per day.
  • Gather essential client details and information about the legal issue; collect personal details, case specifics, and relevant documents.
  • Screen potential cases for viability and alignment with the firm's practice areas and expertise.
  • Schedule initial consultations and appointments between clients and attorneys.
  • Record and maintain case details in the firm's system.
  • Maintain communication with clients and leads, providing updates and addressing concerns.

About the Position:

This role is an important part of our intake/sales team. Some of the responsibilities include handling the following:



  • Initial contact:Answer calls and emails from potential clients, answer initial questions, and make them feel comfortable.Volume of 40-50 leads per day.

  • Information gathering:Collect essential client details and information about the legal issue, such as personal details, case specifics, and relevant documents.

  • Case evaluation:Screen potential cases to determine their viability and whether they align with the firm's practice areas and expertise.

  • Scheduling:Schedule initial consultations and appointments between clients and the appropriate attorneys.

  • Record keeping:Accurately record and maintain case details in the firm's system.

  • Communication:Maintain communication with clients and leads, providing updates and addressing concerns as needed.

  • Flexible: Be flexible and able to assist the team with additional services as needed


Hours: Full time (40 hours per week)


  • M-F - must be available from 8:00 am - 6:00 pm. You will be scheduled to work 8 hours per day.

  • Current schedule requires 3 days in office, with 2 days remote. This may adjust in the future or based upon a decision at the time of hiring based upon where you live.


Location Requirements:


  • You must live in one of the following areas: Utah County, Utah; Salt Lake County, Utah; Orange County, California; Los Angeles County, California; Riverside County, California; San Bernardino County, California; San Diego County, California or, potentially, within the State of Virginia. If you live in California, you should plan on commuting to Orange County regularly. If you live in Utah, you should plan on commuting to Utah County regularly. If you live in Virginia, it would be a fully remote position, although some travel would be required to either Utah or California.

Required Qualifications:


  • Bachelor's degree and/or Paralegal Certificate preferred

  • Mastery of the English and legal language, both written and spoken

  • Desire to help people move forward from their pasts

  • 1-5 years of experience in a fast-paced position which requires managing multiple tasks and providing polished writing products preferred.

  • Strong computer and internet skills including knowledge of Microsoft Office, including Word and Excel.

  • Able to adapt to use our CRM software
