Job summary

Quarles & Brady LLP is seeking a Legal Project Assistant to support the Immigration Team within the Labor & Employment Practice Group. This role covers case preparation, document management, transcription, formatting, and administrative support.

Qualifications

Responsibilities

  • Support attorneys with immigration matters, including document prep and proofreading.
  • Prepare USCIS and Department of Labor forms and filing materials.
  • Maintain case files and intake new matters.
  • Enter data in case management systems and track deadlines.
  • Coordinate signing and filing packages.
  • Maintain an annual billable-hour target of 800 hours.

We are seeking a Legal Project Assistant to support the Immigration Team within our Labor & Employment Practice Group. This position plays an important role in supporting attorneys and paralegals with a wide range of immigration matters, including case preparation, document management, and administrative support. Key Responsibilities
  • Respond to client requests and perform other duties as assigned.
  • Build and maintain positive client relationships through excellent written and verbal communication.
  • Support assigned attorneys with all aspects of immigration matters, including transcription, proofreading, formatting, and finalizing legal documents.
  • Assist attorneys with immigration case filings, including preparing USCIS and Department of Labor forms, drafting supporting materials, compiling documentation and evidence, and coordinating filing submissions.
  • Assist attorneys and paralegals with case and file maintenance, including new matter intake and ongoing file management.
  • Utilize the firm’s case management systems to enter and maintain immigration-related data, track critical dates and deadlines, and create reminder notifications.
  • Prepare and coordinate signature packages and filing packages.
  • Maintain an annual billable-hour expectation of 800 hours.

  • Strong technology skills, including proficiency with Microsoft Office, Outlook, and PowerPoint, and the ability to quickly learn new software and systems.

  • Highly motivated, proactive, and self-directed.
  • Ability to work independently while also contributing to a collaborative team environment.
  • Demonstrated curiosity, adaptability, and a willingness to learn.
  • Prior experience in a professional office environment is preferred; experience supporting legal or immigration work is a plus.

Quarles & Brady offers competitive salaries, bonus opportunities, and excellent benefits, including paid time off, health, vision, dental, 401(k), life insurance, disability coverage, and more. Benefit eligibility is dependent on hours worked. Compensation is determined based on the market in which the position is located, the responsibilities of the position, the experience, education, and skills of the applicant, and other job-related factors. The hourly range for this position for individuals physically located in Chicago is $28.00 to $36.00 per hour.
