Legal Operations Project Coordinator
Rapidly growing law firm in Greenway Plaza is adding a Legal Operations Project Coordinator to their team, reporting directly to the Chief Operating Officer.
Essential Duties and Responsibilities
- Provide administrative support to operational or practice-related projects from planning stage to execution and closure, including memorializing objectives and criteria, scheduling meetings, managing project documentation, tracking budgets, seeking necessary approvals, creating project timelines, tracking progress, and memorializing key project points in writing as appropriate.
- Liaise between stakeholders to ensure all are informed of project progress and status.
- Recommend allocation of firm’s resources as appropriate to accomplish goals.
- Assign project tasks to appropriate team members and monitor progress against deadlines.
- Identify potential project risks and recommend mitigation strategies.
- Prepare status reports summarizing progress, challenges, and next steps.
- Maintain open items log and identify items needing action.
- Work with the firm’s Technology leads to implement legal technology solutions, such as AI platforms and a business dashboard, to optimize operations.
- Liaise between attorneys, support staff, other departments, and external vendors as appropriate on approved projects to gather requirements, gain support, push progress, and achieve project objectives.
- Assess data‑collection capabilities of existing firm software to provide insights for strategic planning and identify areas for improvement; recommend enhanced applications or software to improve data gathering and collection.
- Prepare reports as necessary for analysis and to comply with internal and external reporting requirements, including weekly Executive Committee and monthly Partners meeting reports.
- Initiate and analyze areas of potential financial, policy, or process improvements.
- Demonstrate analytical thinking and problem‑solving skills.
- Interpret complex data and produce detailed reports.
- Identify errors, trends, gaps.

Qualifications & Prior Experience
- Bachelor’s degree in Business, Project Management, or a related discipline.
- Project coordination experience preferred.
- Proficient in project management tools and Microsoft Office Suite (Word, Excel, Outlook), with strong familiarity with Windows‑based applications.
- Familiarity with data and reporting tools.
- Strong technical aptitude with the ability to quickly learn new software and systems.
