London Approach is seeking a Legal Operations Coordinator to provide administrative and operational support to a busy legal team in San Francisco. You will help attorneys stay organized, manage calendars, prepare and organize documents, and maintain confidential case files.

Qualifications

  • 6+ years of experience supporting a legal team or law firm.
  • Strong organizational and time-management skills.

  • Experience with document/case management software preferred.

Responsibilities

  • Coordinate daily administrative and operational activities for the legal team.
  • Manage attorney calendars, meetings, and scheduling conflicts.
  • Prepare, format, proofread, and organize legal documents, correspondence, presentations, and reports.
  • Maintain accurate electronic and physical case files and confidential information.
  • Track deadlines, court dates, filings, and other time-sensitive activities.
  • Assist with document preparation, filing, distribution, and retrieval.
  • Coordinate communications between attorneys, clients, internal departments, courts, vendors, and outside counsel.
  • Support new matter and case-opening processes, including gathering required information.
  • Assist with billing, time-entry coordination, expenses, invoices, and other administrative financial tasks.
  • Prepare meeting agendas, take notes, and follow up on action items.
  • Monitor workflows and ensure assignments and deliverables are on schedule.
  • Assist with legal research and data entry as needed.
  • Maintain confidentiality and discretion with sensitive information.
  • Identify administrative inefficiencies and suggest improvements.

The Legal Operations Coordinator provides administrative and operational support to a legal team, helping attorneys and legal professionals stay organized, on schedule, and focused on client matters. This role coordinates meetings, manages calendars and documents, tracks deadlines, assists with legal processes, and serves as a key point of contact for internal teams, clients, and outside parties.

Key Responsibilities

  • Coordinate daily administrative and operational activities for the legal team.
  • Manage attorney calendars, meetings, conference calls, appointments, and scheduling conflicts.
  • Prepare, format, proofread, and organize legal documents, correspondence, presentations, and reports.
  • Maintain accurate electronic and physical case files, records, and confidential information.
  • Track deadlines, court dates, meetings, filings, and other time-sensitive legal activities.
  • Assist with document preparation, filing, distribution, and retrieval.

Qualifications

  • 6+ years of experience supporting a legal team, law firm, and litigation experience required.
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Proficiency with Microsoft Office Suite, particularly Outlook, Word, and Excel.
  • Experience with document management, case management, or legal software preferred.
  • Ability to handle confidential information with professionalism and discretion.
  • Strong interpersonal skills and the ability to work effectively with attorneys, clients, and cross-functional teams.
  • Ability to work independently while also functioning effectively as part of a team.
