Job description

Based in Dallas, the Legal Executive Assistant (Litigation & Corporate) will be responsible for working with their assigned partners and Of Counsels to coordinate daily activities and provide the highest level of administrative support and practice coordination.

The Legal Executive Assistant will support a group of partners and Of Counsels as part of a team-based support structure within our Legal Administrative Services Department.

This role reports to the Director of Administration, taking daily direction from their assigned partners.

Responsibilities include:

  1. Providing executive support as part of a team of Legal Executive Assistants to a group of partners and Of Counsels within both the litigation and transactional practice groups.
  2. Collaborating closely with assigned partners to effectively manage day-to-day coordination of the partner’s respective practices.
  3. Managing a broad range of complex administrative duties, such as scheduling meetings, preparing reports and meeting materials, entering time, editing documents, furnishing information, responding to routine correspondence, assisting with technical support, processing expense reports, and answering telephone calls.
  4. Managing client onboarding, billing, and relationship management activities.
  5. Organizing complex domestic/international travel arrangements, with detailed itineraries both personal and professional. Coordinate flights, hotel accommodations, car service, visas, dining reservations, etc.
  6. Providing back-up support to peers and liaising with other firm departments and key stakeholders to complete tasks effectively and efficiently.

Qualifications:

  1. Attention to detail in composing, typing, and proofing materials, establishing priorities and meeting deadlines.
  2. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands with minimal supervision.
  3. Exceptional verbal and written communication and people skills, with the ability to collaborate effectively with diverse stakeholders and clients.
  4. Collaboration and facilitation skills to work with various departments and facilitate their ability to work with each other.
  5. Ability to work independently and with a team, and to delegate and manage resources effectively.
  6. Exhibit high degree of initiative and critical-thinking skills in exercising independent judgment and making decisions in managing multiple priorities in a fast-paced, deadline-driven, detail-oriented work environment.
  7. High level of integrity and discretion in handling confidential information.
  8. Creative thinker who is resourceful and anticipatory of the needs of their assignments.
  9. Self-starter with demonstrated instances of taking initiative.
  10. Ability to work overtime as necessary.

Experience:

  1. 10+ years relevant experience required, preferably in a law firm environment.
  2. Highly skilled in Microsoft Office Suite and ability to quickly learn and utilize industry specific computer applications.
  3. Experience in Adobe, Workshare Compare, Best Authority and Litera Forte preferred.

The annual compensation range for this position is $80-95k. The salary offered within this range will depend upon qualifications and other operational considerations.
