Everwise Credit Union is seeking a Legal Coordinator to provide administrative, operational, and regulatory support to the Legal Department within a member-focused financial services environment. The role handles contract intake, litigation tracking, records management, legal intake, and coordination with internal teams and outside counsel.

The position supports the Legal Operations Manager and requires strong judgment, confidentiality, and the ability to manage multiple priorities in a hybrid

Qualifications

  • High School Diploma or GED.
  • 3+ years of experience providing legal department, compliance, executive, or administrative support.
  • Financial services experience preferred.

Responsibilities

  • Maintain legal department calendars including deadlines and reporting requirements.
  • Process legal invoices and coordinate billing with outside counsel and vendors.
  • Maintain litigation tracking logs and case status reports.
  • Maintain contract files, etc. including intake, routing, signatures, and storage.
  • Liaise with outside counsel regarding case updates and deadlines.
  • Track and document all mail received within the Legal department.
  • Assist with research projects led by the legal team.
  • Coordinate responses to employee legal and compliance questions under direction.
  • Coordinate assignment and follow-up for requests through the Request Management System.
  • Assist in writing and updating Legal Department procedures.
  • Maintain legal records and matter documentation with confidentiality in mind.

Position Summary

The Legal Coordinator provides administrative, operational, and regulatory support to the Credit Union's Legal Department. This position supports legal operations in a member-focused, regulated financial services environment and requires sound judgment, confidentiality, and timely coordination across business units, regulators, vendors, and outside counsel. This role assists with contract administration, litigation tracking, regulatory compliance activities, records management, legal intake, and coordination between internal business units and outside counsel. The Legal Coordinator helps ensure legal matters are organized, timely, confidential, and handled in accordance with applicable laws, regulations, internal policies, and department procedures. The role also serves as backup to the Legal Operations Manager as assigned.

Primary Responsibilities & Duties
  • Maintain legal department calendars, including litigation deadlines, regulatory examinations, meetings, and reporting requirements.
  • Process legal invoices and coordinate billing matters with outside counsel and vendors.
  • Maintain litigation tracking logs and case status reports.
  • Maintain contract files, assist with contract intake and routing, and coordinate signature and storage processes in accordance with established procedures.
  • Liaise with outside counsel regarding case updates, documentation, and deadlines.
  • Responsible for tracking and documenting all mail received within the Legal department.
  • Assist with research projects led by members of the legal team.
  • Assist with researching and coordinating responses to employee legal and compliance-related questions under the direction of the legal team.
  • Coordinate assignment, tracking, and follow-up for requests submitted through the Request Management System.
  • Assist in writing and updating Legal Department procedures.
  • Maintain legal records, files, and matter documentation in accordance with applicable retention requirements, confidentiality standards, and department procedures.
  • Maintain accurate information in legal department systems, trackers, and shared resources to support reporting, request management, matter status visibility, and timely follow-up.
  • Assume additional responsibilities as assigned to support the growth, development, and operational effectiveness of the Legal Department and the Credit Union.

  • Sound judgment with the ability to prioritize and make decisions, identify emerging risks, and coordinate effectively with internal and external resources in a hybrid environment.
  • Professional presence and the ability to communicate and collaborate effectively with senior leaders, internal stakeholders, outside counsel and law firm partners.
