We are seeking an experienced, detail-oriented Collections Coordinator to manage and optimize accounts receivable across our practice groups. Working closely with billing attorneys, billing specialists, and clients, you will maintain steady cash flow, resolve payment discrepancies, and track overdue receivables with diplomacy and professionalism.

  • Contact corporate clients, individual clients, and third-party payers via telephone, email, and formal correspondence to address overdue balances.
  • Reconcile complex billing disputes, short payments, and unapplied funds in compliance with client billing guidelines.
  • Partner with billing attorneys to establish payment plans, resolve disputed charges, or determine appropriate next steps for non-responsive accounts.
  • Monitor trust and retainer balances, alerting partners when account replenishment is required under client fee agreements.
Reporting & Analysis
  • Prepare weekly and monthly aging summaries, DSO (Days Sales Outstanding) metrics, and cash collection forecasts for firm leadership.
  • Document all collection efforts, payment promises, and account disputes within the firm’s practice management system.
  • Identify high-risk accounts and recommend bad-debt write-offs or third-party collection referrals when internal remedies are exhausted.
Coordination & Compliance
  • Collaborate with the Billing Department to ensure invoice accuracy, rate compliance, and prompt delivery of e-billed invoices.
  • Comply with state bar rules, ethics guidelines, and professional conduct standards governing client fee collections and trust accounting (IOLTA).
  • Assist during annual audits and month-end/year-end accounting close periods.
Qualifications & Requirements
  • Experience: 3+ years of collections or accounts receivable experience; prior experience in a law firm or professional services environment is strongly preferred.
  • Education: Associate degree in Accounting, Finance, Business Administration, or equivalent work experience.
