Description

The Office of Sponsored Programs at West Virginia University is currently accepting applications for a Legal Assistant. This position offers remote/virtual capabilities.

About the Opportunity

This position reports directly to the Assistant Director of the Award Negotiations sub-department within the Office of Sponsored Programs (OSP) and is supervised daily by the Associate and/or Assistant Directors of that sub-department. The Legal Assistant will work independently with the approval of the directors and perform substantive legal work under their supervision, handling confidential research and projects requiring knowledge of legal concepts, statutes, regulations, policies, and procedures. The role involves assisting in legal and organizational tasks, including document review, correspondence, and system management.

What You'll Do

Award Negotiation

  • Perform daily award negotiation tasks, including reviewing, revising, finalizing agreements, and obtaining signatures.
  • Draft correspondence and review award, agreement, or subaward documents for approval.
  • Coordinate with university departments and negotiators to gather necessary documents.
  • Manage workload tracking and document management systems (DMS, WRAP, Kuali Coeus).
  • Assist in meetings and training sessions related to award negotiations.
  • Create and test templates in the eRA system to ensure proper functionality.
  • Facilitate communication between sub-departments and manage email accounts.
  • Perform other duties as assigned by the Associate and Assistant Directors.

OSP Overall

  • Become a subject matter expert on OSP’s grants management and electronic file systems.
  • Assist with troubleshooting and system management for WRAP, KC, and DMS.
  • Manage proposal and award records within these systems.
  • Serve on committees and assist with policy review and implementation.
  • Represent OSP in meetings and assist with office administration tasks.
  • Perform other duties as assigned by leadership.

Qualifications

  • Bachelor’s degree in a related field.
  • At least three (3) years of experience as a Legal Assistant or paralegal in a law office.
  • Equivalent combination of education and experience will be considered.

  • Positive attitude and ability to perform varied administrative tasks.
  • Independent thinking in a fast-paced environment.
  • Strong analytical, logical, oral, and written communication skills.
