  • Manage attorney calendars, schedule appointments, draft routine correspondence, and handle e-filings.

Job description

At Fahey Schultz Burzych Rhodes, our Legal Assistants play an important role in supporting attorneys and helping keep client matters organized and moving forward. As a Legal Assistant, you’ll work closely with attorneys, paralegals, and practice groups to prepare legal documents, coordinate court filings, manage attorney calendars and deadlines, maintain case files, and communicate with clients and other external parties.

This role requires strong organizational, communication, and multitasking skills, along with a thorough understanding of legal terminology, procedures, and documentation standards. We’re looking for someone with excellent written and verbal communication skills, strong attention to detail, and the ability to manage multiple priorities while maintaining professionalism and confidentiality in all interactions.

POSITION RESPONSIBILITIES:
  • Draft, update, proofread, format, file, and send legal documents, including pleadings, agreements, correspondence, invoices, and other documents as needed.
  • Track and communicate key dates to attorneys and stakeholders, ensuring timely task completion.
  • Assist with opening new client matters, conflict checks, engagement letters, disengagement letters, matter setup, file maintenance, and proper file closure following firm protocols.
  • Maintain, scan, name, inventory, organize, and close client files per policy.
  • Manage attorney calendars, schedule appointments, draft routine correspondence, prepare and schedule conference rooms, and handle electronic filing and e-filings.
  • Witness and notarize document signings and submit documents for recording as needed.
  • Provide support to other legal assistants and perform additional administrative tasks as needed.
  • Work effectively with firm systems, including a cloud-based document management system, Office 365, Adobe, billing system, password management, Zoom, and office equipment (scanners, copiers, fax, postage meter).
  • Demonstrate effective and professional communication skills—both verbal and written—when interacting with clients, attorneys, co-workers, court personnel, and other individuals.
  • Collaborate with team members to share experiences, participate in practice group and firm meetings, and contribute to the success of the firm’s objectives.
  • Consistently promote and model day-to-day behavior consistent with the Firm’s Core Values, Pillars of Culture, and other firm policies.
  • Perform other job duties as assigned.
MINIMUM QUALIFICATIONS:
  • High school diploma is required; associate degree in a related field is preferred.
  • Minimum of two (2) years of experience working in a private sector law firm or public sector legal department.
  • Thorough understanding of legal terminology and local and state rules.
  • High attention to detail, can work interdependently, is coachable and accommodating, takes initiative, collaborates, and is able to organize and prioritize their workload.
  • Proficiency in Office 365 Suite and Adobe Professional.

This is primarily an in-office position. Hybrid or remote work arrangements may be considered in limited circumstances, consistent with the Firm’s Remote Work Policy and subject to approval. Travel may be required to meet client and Firm needs.
