Job summary

Finn Dixon & Herling LLP is seeking a detail-oriented Legal Assistant/Word Processing professional to support attorneys with a range of administrative and document management tasks in a hybrid Stamford, CT setting.

The role requires an Associate’s degree with at least five years of relevant experience in a legal environment, proficiency in Word/Excel/PowerPoint, and familiarity with iManage, Litera, PACER, and related systems. Strong communication and multitasking abilities are essential.

Qualifications

  • Associate’s degree with minimum of five years relevant experience; or an equivalent combination of education and experience.
  • Must have experience supporting attorneys in a legal setting and familiarity with formatting various legal documents.
  • Strong computer and technology skills including word processing, spreadsheets and presentation software (Outlook, Word, Excel, PowerPoint).

Responsibilities

  • Use word processing and document management software to compose, prepare and revise a wide variety of legal documents including confidential correspondence, reports, contracts, pleadings, charts and memos.
  • Provide support and guidance regarding software and document management; troubleshoot problems and instruct others on system use.
  • Assist with onboarding activities such as orientation training and activating key cards for new hires.
  • Resolve low level technical issues and escalate complex issues to appropriate support groups.
  • File, organize, scan, copy and send legal documents in a timely manner.
  • Proofread, revise and redline versions of documents.
  • Coordinate scheduling of meetings and travel, assist with check requests, replace lost/damaged key cards.
  • Demonstrate problem solving and clear communication with clients and staff.
  • Collaborate with team to maintain high client satisfaction and effective communication.
  • Assist attorneys as needed as part of the Legal Assistant/Word Processing team.
  • Other duties as assigned.

Job description

This position performs a variety of administrative support duties and delivers high-quality services to attorneys and other staff members, exhibiting commitment to integrity and excellence. The position requires thorough knowledge of all firm and practice-specific administrative processes and procedures, information technology systems and research tools; also requires broad-based understanding of the clients, matters and associated practices. The scope of responsibilities includes prioritizing, managing and following through on multiple projects, and communicating effectively with attorneys and other staff members.

Job responsibilities/duties may include, but are not limited to:
  • Use word processing and document management software and applications to compose, prepare and revise, format and finalize a wide variety of legal documents including confidential correspondence, reports, contracts, pleadings, charts, tables, drafts, memos, lists and other documents
  • Provide support and guidance to others regarding software and document management; answer questions, troubleshoot problems, teach or instruct others on use of systems
  • Assist with onboarding activities such as providing orientation training on document management and activating key cards for new hires
  • Resolve low level technical issues and escalat complex issues to the appropriate support group for effective resolution
  • File, organize, scan, copy and send legal documents in a timely manner
  • Proofread, revise and redline versions of documents
  • Additional responsibilities may include scheduling meetings and travel arrangements, assisting with check requests, and replacing lost/damaged key cards
  • Respond quickly to problems and demonstrate skillful problem solving
  • Work with other team members to ensure that the highest level of client satisfaction and communication is maintained at all times
  • Work as part of the Legal Assistant/Word Processing team to assist with overflow and provide assistance to all attorneys as needed
  • Other duties as assigned
Required Skills and Experience:
  • Associate’s degree with minimum of five years relevant experience; or an equivalent combination of education and experience
  • Must have experience supporting attorneys in a legal setting and familiarity with formatting various legal documents
  • Must have strong computer and technology skills, including proficiency with word processing, spreadsheets and presentation software (e.g., Outlook, Word, Excel, PowerPoint), as well as database systems
  • Working knowledge of iManage, DocxTools, Litera, Litera Compare, PACER, Power PDF, Best Authority, Aderant, FedEx (creating labels), Zoom and Microsoft Teams are considered assets
  • Ability to quickly learn new software and operating systems, such as cloud-based document management systems, and AI tools
  • Highly detail-oriented with ability to create precise technical documents, spot typos and other flaws in documents
  • Strong client focus and commitment to client satisfaction through excellent quality, efficiency, interpersonal and problem-solving skills
  • Demonstrate open, clear, concise and professional verbal and written communications
  • Ability to take accountability and work both independently with minimal supervision and collaboratively as a team player

Finn Dixon is based in Stamford, Connecticut and currently maintains a hybrid work environment, with candidates generally expected to be in the office at least two days per week.
