Responsibilities

  • Provide comprehensive administrative support to attorneys in the Wealth Preservation and Estate Planning practice.
  • Serve as primary client contact with professional, responsive, and confidential service.
  • Manage a high volume of client matters, communications, documents, and deadlines.
  • Prepare, revise, format, proofread, and finalize correspondence, agreements, and other materials.
  • Monitor client onboarding process and prepare client engagement letters.
  • Manage attorney calendars, schedule client meetings and conference calls, and track deadlines.

Job Summary

We are seeking an experienced Legal Assistant to support attorneys in our Wealth Preservation and Estate Planning practice group. This is a fast-paced, high-volume, and client-facing position that requires exceptional organization, attention to detail, professionalism, and the ability to manage multiple priorities and deadlines.

The ideal candidate is a proactive and highly organized professional who understands the importance of responsiveness, follow-through, and exceptional client service. This individual is comfortable managing a significant volume of work and can build strong working relationships with attorneys, clients, and colleagues. Due to the large volume of work in this practice, this position is heavy on invoicing.

Prior experience in Wealth Preservation, Estate Planning, Trusts and Estates, or a related practice area is preferred but not required. We welcome experienced legal assistants who have the skills and interest to quickly learn the practice.

Key Responsibilities
  • Provide comprehensive administrative support to attorneys in the Wealth Preservation and Estate Planning practice.
  • Serve as a primary point of contact for clients and provide responsive, professional, and confidential client service.
  • Manage a high volume of client matters, communications, documents, and competing priorities.
  • Prepare, revise, format, proofread, and finalize correspondence, agreements, and other materials.
  • Monitor client onboarding process.
  • Prepare, send, track, and follow up on client engagement letters, including coordinating execution as needed.
  • Manage attorney calendars, schedule client meetings and conference calls, coordinate internal and external appointments, and track important deadlines and follow-up items.
  • Maintain and organize electronic and physical client files and ensure documents and correspondence are properly filed.
  • Assist with opening new client matters and maintaining accurate client and matter information.
  • Manage and support the monthly billing and invoicing process, including reviewing billing information, preparing invoices, making revisions, and coordinating with attorneys and Accounting as needed.
  • Coordinate document execution, signatures, notarization, and delivery of completed documents.
  • Communicate with clients regarding scheduling, documents, outstanding information, and other routine matter-related needs.
  • Track deadlines, follow-up items, and outstanding client requests to help ensure matters move forward efficiently.
  • Assist with special projects and other administrative responsibilities as needed to support the attorneys and practice group.
  • Additional duties may be assigned as needed.
Requirements
  • Minimum of 5 years of prior experience as a Legal Assistant, Legal Secretary, or similar support professional.
  • Experience supporting a high-volume legal practice strongly preferred.
  • Wealth preservation, estate planning, trusts and estates, tax, or related experience is a plus, but not required.
  • Strong client-service skills and demonstrated experience communicating professionally with clients.
  • Excellent organizational and time-management skills with the ability to prioritize multiple assignments and deadlines.
  • Strong attention to detail and proofreading skills.
  • Ability to work independently, anticipate attorney needs, and take ownership of assignments through completion.
  • Strong written and verbal communication skills.
  • Professional judgment and discretion when handling sensitive and confidential client information.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel, and demonstrated ability to effectively use or learn document management, billing, and other legal technology systems.
