Job Title: Legal Administrative Assistant / Litigation Secretary

Job Type: Full-time

Position Overview:

We are seeking a professional and highly organized Legal Administrative Assistant to provide high-level administrative and litigation support to a group of attorneys in a dynamic, fast-paced legal environment. The ideal candidate will have at least 2 years of litigation experience, strong technical skills, and the ability to manage multiple priorities with accuracy and discretion.

Key Responsibilities:

  • Provide comprehensive administrative and secretarial support to assigned attorneys
  • Schedule and coordinate court dates, depositions, mediations, client meetings, and travel arrangements
  • Draft and format legal documents, including pleadings, motions, subpoenas, and correspondence using firm templates
  • Prepare and file legal documents in both state and federal courts, including e-filings
  • Manage incoming and outgoing communications, including calls, mail, and legal documents
  • Maintain and organize case files, both electronic (via iManage) and physical
  • Enter attorneys’ time and assist with monthly client billing using InTapp Time, 3E, and Chrome River
  • Maintain calendars and track deadlines and due dates for cases
  • Create and update desk manuals and process documentation for internal use
  • Uphold confidentiality, professionalism, and discretion in all interactions

Qualifications:

  • High school diploma required; Bachelor’s degree preferred
  • Minimum 2 years of legal administrative or litigation secretary experience
  • Familiarity with court filing procedures and legal terminology
  • Proficient in Microsoft Office Suite, iManage, InTapp, 3E, and Chrome River
  • Excellent organizational, multitasking, and time management skills
  • Strong written and verbal communication skills
  • Ability to work independently and as part of a team in a deadline-driven environment
  • High level of professionalism and attention to detail
