Job summary

Larkin Hoffman is seeking a full-time Legal Administrative Assistant to support lawyers and IP staff. This role involves organizing electronic files, billing, time entry, docket maintenance, and project work in a collaborative office.

The position supports attorneys, paralegals, and staff, with opportunities for hybrid work after onboarding, and a focus on accuracy and client service within a prime office location.

Qualifications

  • Legal Administrative certification OR degree with 2+ years of law firm experience; or equivalent.
  • Preferred: legal admin certification/degree with 4+ years in a law firm.
  • Some knowledge of Patent Law is a plus.

Responsibilities

  • Provide admin support to attorneys, paralegals, and support staff.
  • Prepare/process timesheets, expenses, client bills and related billing tasks.
  • Maintain client files in NetDocs per firm guidelines.
  • Review docket details to meet deadlines and follow up on filings.
  • Draft correspondence to clients/foreign associates on filings.

Job description

Larkin Hoffman is seeking a full-time (37.5 hours per week) Legal Administrative Assistant to join our Intellectual Property practice group.This position will provide administrative support for lawyers, paralegals, and other legal personnel. Duties include organizing and maintaining electronic legal files, billing, time entry, maintaining dockets, processing expenses, general office responsibilities, and other projects as needed and/or assigned.

Additional Duties and Responsibilities
  • Provide administrative support to attorneys, paralegals, and practice support specialists in assigned legal department.
  • Prepare/process timesheets, expense reports, client disbursements, client bills, and other billing responsibilities, as directed.
  • Maintain and organize client files in NetDocs according to firm guidelines. Open and close client files according to firm guidelines.
  • Review and cross-check details of docket system to ensure deadlines are met, follow‑up on important filings, correspondences, and other IP matters needing attention.
  • Draft report‑out correspondence to client/foreign associate regarding such filings made to or received from US and foreign patent offices.
  • Coordinate and collaborate with firm's litigation department to help manage litigation involving IP attorneys.
  • Assist with special projects and cooperate as a Team Member with assigned LAA Team and other support staff teams (word processing, receptionist, or office services) by accepting and completing tasks in addition to their own assigned tasks, performing any duty essential to the achievement of efficient operations. Champion teamwork and cooperation for oneself and one’s Team through actions, words, and behaviors.
Skill and Competencies
  • Strong attention to detail. Ability to monitor your own work and the work of others for accuracy and thoroughness.
  • Transcribe dictations with speed and accuracy.
  • Excellent communication skills and client service. Communicates change and progress.
  • Knowledge of networks, shared storage, telecommunications, hardware, platforms, operating systems, and various software applications.
  • Collect, research, and synthesize data.
  • Follows instructions and responds to management direction. Adheres to firm policies/procedures and supports goals/values of the firm.

Education and/or Experience
  • Legal Administrative certification OR degree with 2+ years of law firm experience OR equivalent combination of education and/or related experience.

Work Location
  • In person with possibility of hybrid work schedule after initialonboarding period.
Compensation
  • The starting compensation range for this position is $64,000 to $72,000 and represents the firm’s good faith and reasonable estimate of the starting compensation at the time of posting. Actual compensation will depend on several factors, including but not limited to, the candidate’s years of experience, qualifications, and skill set.
