We are seeking an experienced Legal Administrative Assistant to prepare, organize, and maintain court reporting documents, videos, and records with accuracy and attention to detail, and to perform various administrative support duties.

This position is ideal for someone who thrives in a detail-oriented environment and is passionate about organization.

Job Responsibilities:

  • Review and format transcripts to make sure they’re accurate, properly styled, free of grammar mistakes, have required signatures, etc.
  • Organize documents; share them with the appropriate people.
  • Scan, retrieve and deliver documents when requested.
  • Keep records of document updates, including tracking edits using Excel.
  • Set up and share links for video meetings.
  • Answer client questions quickly and professionally.
  • Help with office communication (emails, phone calls, etc.)

Daily and Calendar Tasks:

  • Review the calendar each morning and afternoon to prepare for upcoming events.
  • Send clients confirmation emails.
  • Update the calendar with confirmed or canceled events and contact clients when needed.
  • Send job details to reporters, videographers, and interpreters.

General Expectations:

  • Deliver excellent customer service with a friendly, professional attitude.
  • Keep all client and team member information confidential.
  • Notice recurring issues and suggest improvements to management.
  • Share client feedback to help improve services.
  • Other related tasks as assigned by management.

Preferred Qualifications:

  • 2–3 years of legal or court reporting experience required
  • Associate’s degree in legal services, business, records management, or a related field preferred.
  • Strong Microsoft Office skills, especially in Excel; experience with Adobe, e-Transcript, ASCII, and Minuscript is a plus
  • Proficiency with organizing, filing, and sharing documents
  • Comfortable using office equipment like printers and scanners
  • Detail-oriented, well-organized, and able to manage time effectively
  • Trustworthy and able to handle confidential information responsibly
