Job summary

Union Real Estate seeks a motivated Leasing Agent to manage lease processes for multifamily buildings and support the Operations Manager in daily tasks. The role combines office work with on-site property visits to ensure smooth operations and quality tenant service.

Ideal candidates have 1–3 years of leasing or property management experience, strong communication skills, and proficiency with Google Workspace, Smartsheets, Excel, and Word. Competitive pay and benefits offered.

Responsibilities

  • Lease management: schedule tours, assist tenants, and guide the leasing process from inquiry to signing.
  • Tenant relations: be the first point of contact for residents and handle inquiries, complaints, and service requests.
  • Screen applicants: review rental applications, perform background and credit checks, verify eligibility.
  • Prepare and explain leases, renewals, and amendments, ensuring all documents are complete and accurate.
  • Ensure lease compliance with applicable laws and company policies.
  • Coordinate move-ins and move-outs; ensure units are prepared and vacated units are cleaned.
  • Monitor rent collection and reporting; issue late fees and notices; maintain leasing records; attend magistrate as needed.
  • Understand and comply with Fair Housing laws and all applicable regulations.
  • Provide administrative support to Operations Manager: filing, record-keeping, emails, and calls; review security footage when required.
  • Coordinate maintenance scheduling and inspections; liaise with maintenance teams.
  • Assist in property inspections and reporting on occupancy and performance.
  • Communicate with tenants about upcoming projects, services, or notices.
  • Oversee monthly laundry funds collection and machine maintenance reporting; assist in installing new machines.
  • Handle any other tasks as directed by Director of Residential and Operations Manager.

Job description

We are seeking a motivated and dynamic Leasing Agent to join our team. The ideal candidate will have experience in leasing and managing residential properties, and will also assist the Operations Manager in day-to-day tasks related to the management of multiple multifamily buildings. This role requires strong customer service skills, attention to detail, and the ability to handle various operational tasks that contribute to the smooth functioning of the properties.

Key Responsibilities:

Leasing Agent Responsibilities:

Lease Management: Schedule property tours, assist prospective tenants, and facilitate the leasing process from initial inquiry through lease signing.

Tenant Relations: Serve as the first point of contact for residents, addressing inquiries, complaints, and service requests in a timely and professional manner.

Screening Applicants: Review rental applications, conduct background and credit checks, and ensure tenants meet property eligibility requirements.

Lease Documentation: Prepare and explain lease agreements, renewals, and amendments. Ensure all required documentation is complete and accurate.

Lease Compliance: Help ensure that all leases are up-to-date and in compliance with applicable laws and regulations.

Move-In/Move-Out Coordination: Coordinate move-ins and move-outs, ensuring units are prepared for new tenants and vacated units are properly cleaned and inspected.

Rental Collection & Reporting: Monitor rent collection and delinquency, issue late fees and send late rent payment notices, and maintain accurate records of leasing activity. Attend magistrate as needed.

Fair Housing:Understand and comply with Fair Housing Laws and all company rules and regulations in addition to local,state & federal laws.

Operations Assistance:

Administrative Support: Assist the Operations Manager with administrative tasks, including filing, record-keeping, and responding to emails or calls related to property operations. Review security camera footage for all properties and upload to incident reports if required.

Maintenance Coordination: Interface with maintenance teams to ensure timely resolution of tenant maintenance requests. Assist in scheduling repairs and inspections.

Property Inspections: Assist in conducting routine inspections of properties, ensuring they are maintained in compliance with company standards and regulations.

Reporting: Help compile budgets and update reports related to occupancy, leasing activity, and property performance for the Operations Manager and Senior Management.

Tenant Communication: Collaborate with the Operations Manager to send notices or reminders to tenants for upcoming projects, scheduled services or other important information.

Laundry Collection: Responsible for the monthly collection of funds from coin-operated laundry machines, ensuring the safe transport of the collected money to designated pick-up sites. Timeliness and accuracy are crucial for the smooth operation of the laundry. Additional task of checking the condition of the machines and reporting any maintenance issues. Assist in coordinating the installation of new laundry machines.

Other: Handle any other tasks given by the Director of Residential and the Operations Manager

Qualifications:

Education & Experience:

1-3 years of experience in leasing or property management, ideally in multifamily buildings.

Experience assisting with property operations is a plus.

Skills & Abilities:

Strong communication and interpersonal skills, with the ability to interact professionally with tenants, prospects, maintenance and vendors.

Basic to immediate knowledge of common software programs like Google Workspace, Smartsheets, Excel, Word

Detail-oriented, organized, and able to handle multiple tasks simultaneously.

Other Requirements:

A valid driver’s license, reliable transportation and current vehicle insurance is required

This role requires both office work and fieldwork. Although your main role will be leasing, some tasks will be performed in the office while others will require visiting the properties to assist in overseeing operations.

Reports to: Director of Residential / Residential Operations Manager

Pay and Benefits:
Starting at $40,000 + time-and-a-half overtime. Matching 401(k), Health, Dental,Vision, Life & Supplemental Insurance, Paid Holidays, Paid Personal Time Off, Summer/Holiday/Office Parties
