Job summary

HDR, Inc. in California seeks a Lead Project Coordinator to support operations across multiple projects, coordinating staff, schedules, and documentation with a focus on quality and client satisfaction.

You’ll work with project managers, prepare proposals and invoices, manage files, and enforce company processes while fostering an employee-owned, collaborative culture.

Qualifications

Bachelor's degree or equivalent; seven years of related experience preferred
Minimum 3 years related experience with an associate degree
Ability to handle multiple assignments and priorities with strong organizational skills
Proven leadership and communication skills; customer-focused demeanor
Proficiency in project documentation, scheduling, and reporting

Responsibilities

Assist with operations of production section including staff development, profitability, morale, quality control and marketing support
May function as an Assistant Project Manager on projects in addition to management responsibilities
Coordinate services with other sections and lead project staff
Involve in marketing planning and proposals
Ensure work is planned, organized, controlled and evaluated through proactive project management system
Prepare contracts and sub-contracts and organize documents and reports
Coordinate meetings and presentations and maintain client relations
Assist with project invoices and overall project governance

In the role of Lead Project Coordinator, we’ll count on you to:

Assist in the responsibility for operations of production section including staff development, profitability, morale, quality control and marketing support
May function as an Assistant Project Manager and assist in responsibility for production on projects in addition to management responsibilities
Assist with administrative responsibility for section staff and technical service functions, and lead and coordinate services with other sections
Be involved in marketing planning and proposals
Assist in ensuring that all work is planned, organized, controlled and evaluated through proactive project management system
Implement, monitor and support company policy
Assist in the selection, training, development and management of project coordinator personnel
Compose, type, format, proofread, edit and organize documents, reports, specifications and correspondence
Create and maintain paper and electronic files
Order insurance and monitor insurance certificates
Assist with developing project guides, and provide information and support for project reviews
Apply company quality assurance guidelines and procedures for project document management
Prepare, organize and assist with contracts and sub-contracts
Coordinate meetings and assist with presentations
Exhibit professionalism with clients
Work closely with multiple Project Managers and project teams
Assist with or prepare project invoices as needed
See that all work is planned, organized, controlled and evaluated through proactive project management system
Perform other duties as needed

Preferred Qualifications

Bachelor's degree
Minimum 7 years of related experience
Ability to handle multiple assignments
Good leadership and organizational skills
Strong communication and listening skills
Proficiency in Newforma, Procore, ACC/Forma, Google Docs
