Job summary

HDR is seeking an Administrative Project Coordinator to type, format and organize project documents and manage files for multiple project teams in California. You will help coordinate meetings, assist with project guides and invoices, and ensure adherence to QA guidelines in a fast-paced engineering environment.

The role requires at least an associate degree or equivalent experience, 1 year of related work, and strong Word/Excel skills.

Qualifications

  • At least 1 year of related project coordination or admin experience.
  • Proficiency with Word and Excel required.

Responsibilities

  • Type, format and organize project documents, reports, specifications and correspondence.
  • Create and maintain paper and electronic files.
  • Order insurance and monitor insurance certificates.
  • Apply QA guidelines and procedures for project document management.
  • Assist with meetings and presentations; coordinate logistics.
  • Support project teams and multiple Project Managers as needed.

In the role of Administrative Project Coordinator, we'll count on you to:

  • Type, format and organize project documents, reports, specifications and correspondence
  • Create and maintain paper and electronic files
  • Order insurance and monitor insurance certificates
  • Apply company quality assurance guidelines and procedures for project document management
  • Assist with and help coordinate meetings and presentations
  • Exhibit professionalism with clients
  • Work with multiple Project Managers and project teams as needed
  • Assist with project guides, project reviews, project invoices and expense reports as needed
  • Perform other duties as needed
Preferred Qualifications
  • Bachelor's degree
  • Experience with engineering or architectural firms
  • Support operations including marketing efforts
  • Advanced knowledge of Microsoft Excel
  • Proficiency in Microsoft Project
  • Familiarity with InDesign and/or PowerPoint
  • Experience with ACC/Forma, Newforma, and/or Procore is a plus
Required Qualifications
  • Associate degree in a closely related field or combination of education and relevant experience
  • A minimum of 1 years related experience
  • Proficiency in Microsoft Word and Excel
  • An attitude and commitment to being an active participant of our employee-owned culture is a must
