Job summary

HDR is seeking an Administrative Project Coordinator to join our Building Engineering Services team. The role supports document management, meeting coordination, and client interactions while ensuring QA guidelines are followed. You will collaborate with multiple project managers across locations in California.

Ideal candidates hold an associate degree with at least one year of related experience and proficiency in Word and Excel. A Bachelor's degree is preferred.

Qualifications

  • Associate degree in a closely related field or equivalent combination of education and experience
  • Minimum 1 year related experience
  • Proficiency in Microsoft Word and Excel
  • Must contribute to an employee-owned culture
  • Bachelor's degree preferred
  • Experience with engineering or architectural firms
  • Advanced knowledge of Microsoft Excel
  • Experience with project management software (MS Project, InDesign/PowerPoint)

Responsibilities

  • Type, format and organize project documents, reports, specifications and correspondence
  • Create and maintain paper and electronic files
  • Order insurance and monitor insurance certificates
  • Apply company QA guidelines for project document management
  • Assist with and help coordinate meetings and presentations
  • Exhibit professionalism with clients
  • Work with multiple Project Managers and project teams as needed
  • Assist with project guides, reviews, invoices and expense reports
  • Perform other duties as needed

In the role of Administrative Project Coordinator, we'll count on you to:

  • Type, format and organize project documents, reports, specifications and correspondence
  • Create and maintain paper and electronic files
  • Order insurance and monitor insurance certificates
  • Apply company quality assurance guidelines and procedures for project document management
  • Assist with and help coordinate meetings and presentations
  • Exhibit professionalism with clients
  • Work with multiple Project Managers and project teams as needed
  • Assist with project guides, project reviews, project invoices and expense reports as needed
  • Perform other duties as needed
Preferred Qualifications
  • Bachelor's degree
  • Experience with engineering or architectural firms
  • Support operations including marketing efforts
  • Advanced knowledge of Microsoft Excel
  • Proficiency in Microsoft Project
  • Familiarity with InDesign and/or PowerPoint
  • Experience with ACC/Forma, Newforma, and/or Procore is a plus
Required Qualifications
  • Associate degree in a closely related field or combination of education and relevant experience
  • A minimum of 1 years related experience
  • Proficiency in Microsoft Word and Excel
