Job summary

The Institute for Family Health in New York City is seeking a full-time Patient Service Representative to support front desk operations, scheduling, registration and billing integrity under the Practice Administrator. You will supervise PSRs, manage faxes, assist with purchasing, maintain supply inventories, and help ensure accuracy of patient data and departmental performance.

Candidates should have a high school diploma, at least one year as a PSR, and good communication skills; bilingual

Qualifications

  • High School diploma required; Bachelor’s Degree preferred.
  • Minimum 1 year of PSR work experience.
  • Proficiency with Practice Management Systems (Versys).
  • Demonstrated leadership and supervisory skills.
  • Bilingual, Spanish preferred.
  • Strong organizing and scheduling skills.
  • Excellent interpersonal, oral, and written communication skills.

Responsibilities

  • Schedule and register patients; manage billing data.
  • Supervise PSRs and coordinate PSR scheduling.
  • Manage cash collection and appointment scheduling.
  • Process faxes distribution and hospital updates.
  • Verify and correct daily statistics for leadership.
  • Assist Practice Administrator with advanced duties.
  • Take monthly supply inventories and assist with purchasing.
  • Ensure adherence to approved policies and procedures.

Brief Description

Under the supervision of the Practice Administrator, performs routine clerical duties and is responsible for cash

Under the supervision of the Practice Administrator, performs routine clerical duties and is responsible for cash collection, appointment scheduling, registration/financial data and integrity of billing including charge documents. Is cognizant of the philosophy, standards, objectives, and policies of the Department and the Organization.

Requirements
  • Demonstrates the ability to perform clinical/technical/service/administrative tasks.
  • Prepares PSR schedules to ensure maximum coverage and provide a copy to the Practice Administrator and Assistant Practice Administrator (all PSR requests for leave time will continue to be submitted to Lead PSR; however they must be submitted to the Practice Administrator and Assistant Practice Administrator with a copy of the revised PSR schedule for final approval.
  • Supervises all Patient Service Representatives in practice.
  • Performs as office fax manager by ensuring that all incoming faxes are appropriately distributed including hospital admission updates sent on all call notes.
  • Verifies daily work and ensures that corrections are made (on encounters and statistics) before forwarding the statistics to the Practice Administrator and Assistant Practice Administrator.
  • Assists Practice Administrator and Assistant Practice Administrator with more advanced duties, when requested.
  • Demonstrates the knowledge and skills necessary to provide care, based on physical, psychosocial, educational, safety, and related criteria, appropriate to the age of the patients served in assigned area.
  • Participates in the department's performance improvement activities.
  • Trains PSRs in all aspects of their position
  • Monitors the PSR’s performance to ensure adherence to approved policies and procedures.
  • Performs as PSR as required to fill-in for vacations, leave time, lunch hours, and to assist PSR’s
  • during heavy patient sessions, etc.
  • Performs as office fax manager by ensuring that all incoming faxes are appropriately distributed,
  • including hospital admission updates sent by Eric Spitzer and on call notes.
  • Assists Practice Administrator and Assistant Practice Administrator with more advanced duties,
  • when requested.
  • Takes monthly supply inventories, and forwards information to Practice Administrator and Assistant
  • Practice Administrator for purchasing.
  • Demonstrates the knowledge and skills necessary to provide care, based on physical,
  • psychosocial, educational, safety, and related criteria, appropriate to the age of the patients served
  • in assigned area.
  • Reports problems and inconsistencies in individual PSR performance to Practice Administrator and
  • Assistant Practice Administrator for further action.
Qualifications
  • High School diploma required. Bachelors Degree preferred
  • Minimum 1 year of work experience as a PSR
  • Demonstrated proficiency with Practice Management Systems (Versys)
  • Demonstrated leadership and supervisory skills
  • Bilingual, Spanish Preferred
  • Demonstrated organizing and scheduling skills.
  • Excellent interpersonal, oral, and written communication skills.
