Job Summary

Full-Time Lead Patient Coordinator at our Rykowski Lane Office. The Lead Patient Coordinator assists the General Manager with supervising front office duties and staff. Schedule: Full time, 30+ hours. Availability Monday through Friday with rotating Saturdays within operating hours of 7am–7pm. Open flexibility to help cover duties in a team environment is needed.

Responsibilities
  • Promote a professional and welcoming atmosphere that enhances the quality of service and care offered to patients, providers, PCs, and MAs.
  • Lead by example and maintain office presence and highest level of professionalism.
  • Assist the General Manager with finding coverage for necessary shifts, should there be a call‑out, emergency or PTO taken.
  • Train and supervise all front office staff.
  • Check that beginning and end‑of‑day checklists are performed and signed off daily.
  • Conduct weekly meetings with fellow PCs.
  • Provide weekly feedback to the General Manager to discuss progress of employees and assess employees in need of re‑training.
  • Oversee that the front office staff is performing the scheduling tasks timely and correctly.
  • Ensure that all scheduling, cancellations, confirmations and superbill entry are done appropriately.
  • Notify, document, and advise the General Manager of all personnel and patient complaints or issues.
  • Maintain a neat and orderly work area throughout the office.
  • Maintain office equipment, office supply inventory and follow bi‑weekly ordering protocol.
  • Oversee the creation of new medical records for each patient.
  • Obtain all necessary copies of insurance cards, referrals and demographic information.
  • Ensure that staff is correctly entering data into the system.
  • Maintain confidentiality of all patient and employee information.
  • Enforce CLIA, OSHA, and HIPAA regulations.
  • Audit PC checklists and ensure closing duties are performed correctly.
  • Oversee that cash deposits are locked up in the appropriate location.
  • Have thorough knowledge of all procedures performed at the offices.
  • Perform other duties as assigned by supervisor on an as‑needed basis.
Qualifications
  • 2–3 years of experience working in a dermatology/medical environment (preferred).
  • Experience using EMR software and patient scheduling systems (preferred).
  • Computer savvy and familiar with Microsoft Word, Excel, and Outlook.
  • Strong communication, interpersonal, and organizational skills.
  • Excellent patient relations and customer service skills.
  • Professional, reliable, and dedicated employee.
  • Strong critical‑thinking, problem‑resolution skills and multitasking capability.
  • Prior experience working in a dermatology/medical environment.
  • Open availability to work during weekdays and weekends.
