Job description

Summary:
The Lead Medical Assistant reports to the Ambulatory Clinical Manager and/or Practice Manager. Under general supervision and in accordance with established policies and procedures, they coordinate the daily activities of Medical Assistants. They assist in developing staff schedules and work assignments to ensure efficient practice operations. They ensure adherence to safety and quality standards by medical assistant staff and provide guidance in collaboration with the Ambulatory Clinical Manager, Practice Manager, and providers. They may also perform duties of Medical Assistant - Ambulatory.

Responsibilities:
  1. Lab Oversight: Provides daily oversight of lab tracking, including tests and procedures. Ensures current lab results are received and reported in the patient’s Electronic Medical Record (EMR), and reports abnormal results to the physician/provider immediately.
  2. Scheduling: Develops and communicates provider and staff schedules, supports patient scheduling with medical assistant staff, maintains appointment availability, and develops provider schedule templates.
  3. Team Coordination: Assists in daily coordination of Medical Assistants to ensure efficient patient flow and timely follow-up of tasks. Participates in interviewing and onboarding new Medical Assistants.
  4. Inventory and Equipment: Monitors inventory levels, reorders supplies as needed, and ensures timely receipt and proper storage. Ensures functional reliability of equipment, makes minor repairs, and refers complex issues to vendors.
  5. Customer Service and Relationships: Ensures activities meet or exceed customer expectations and maintains relationships within and outside the practice, including staff, patients, families, and vendors.
  6. Committee Participation: Participates in committees or work teams and may lead quality improvement initiatives.
  7. Professional Development: Maintains and enhances professional expertise through seminars, meetings, and courses in leadership.
  8. Coverage: May perform Medical Assistant duties and provide coverage during absences, adhering to Medical Assistant criteria.
Other Information:
Basic Knowledge: High School diploma or equivalent; completion of an accredited certified medical assistant training program.
Experience: Minimum of five years as a medical assistant in a physician’s office; familiarity with medical procedures and terminology preferred; strong communication, organizational, and leadership skills.
Supervisory Responsibility: Acts as a lead or resource for Medical Assistants - Ambulatory.
Work Environment: Healthcare setting including hospitals and physician offices; involves patient contact, equipment use, and adherence to safety procedures. May involve lifting up to 50 pounds and exposure to hazards.
