Job description

Title: Lead Certified Medical Assistant / Registered Medical Assistant

Summary of Position: Under the supervision of the Director of Clinical Services (DOCS), the Lead Medical Assistant (MA) helps to facilitate patient care in the clinical environment. S/He is an essential part of the care team from the onset of the visit until its completion. The Lead MA may be involved in both the clinical and administrative areas. S/He is one of the primary guides for the patient through the appointment process. Tasks assigned to this role are both clinical and clerical. The Lead MA is responsible for ensuring all MAs are capturing and documenting clinical and demographic information accurately in the Electronic Health Record (EMR). The Lead MA aids the clinical MAs and/or Providers with procedures and communicates with patients in various forms and multiple settings. S/He performs as an extension for the Medical Assistant in the absence of the DOCS for equipment, training, and vaccination supply questions. S/He communicates directly with the DOCS for direction and information for clinical flow and procedures.

Minimum Qualifications:

  1. Must be able to communicate in English accurately and concisely both verbally and in writing.
  2. Must be able to interact, at all times, in a professional and patient-centered manner with patients.
  3. Must be able to work cooperatively with internal staff to deliver safe, effective, and quality care to all patients.
  4. Must be able to plan, prioritize and complete assigned tasks with a high level of accuracy.
  5. Must be able to travel to other sites as necessary.
  6. Must be able to work under time constraints while maintaining accurate records within vaccination records, EHR, and new employee training documentation.

Experience: Three years (3) of employment with Clinic as a Medical Assistant or Five (5) years experience as an MA.

Additional skills required: Competent knowledge of EHR System, completion of all training for vaccination protocols, enhanced organizational and documentation skills. Ability to precept new employees.

Excellent interpersonal skills and critical thinking.

Additional skills preferred: Bilingual

Education: High School diploma or GED and graduated from an accredited Medical Assistance Program.

Certification(s)/Licensure: Medical Assistance Certification, CPR and BLS required. Prefer certification in additional skills area i.e. Phlebotomy, EKG, etc.

Physical Requirements:

  1. Continuous walking, standing and moving around.
  2. Frequently bends, kneels and crouches.
  3. Frequently lifts, pushes or otherwise moves and positions patients or other objects exerting up to 50 lbs.
  4. Repetitive movement of hands and fingers – typing and/or writing.
  5. The ability to talk, hear and smell.
  6. Possible exposure to hazardous fumes, airborne particles, toxic/caustic chemicals, body fluids, etc.

Key Responsibilities:

  1. Fulfill patient care responsibilities to all patient populations, including pediatrics, as assigned. This may include but is not limited to checking schedules and organizing patient flow to ensure patient visits are started in a timely manner, greeting and escorting patients to exam rooms, preparing for the provider-patient encounter by obtaining a comprehensive health history and vital signs, performing required screenings per established guidelines.
  2. Maintain accurate documentation in the patient’s EHR based on established documentation procedures.
  3. Assist with telephone follow up with patients as directed by the provider or DOCS.
  4. Under the direction of the provider and/or DOCS, assist with patient health education and follow up on established patient plan(s) of care.
  5. Complete in a timely manner, the assigned clinic maintenance tasks including but not limited to the following: setting up instruments and equipment including a working knowledge of all equipment and the ability to train other personnel on its use. Running tests and controls on equipment and the ability to teach other personnel. Cleaning exam/procedure rooms and documenting completed tasks based on clinic protocols and the ability to train others in the appropriate procedure and techniques.
  6. Fulfill clerical responsibilities as assigned including but not limited to the following: obtaining lab/x-ray reports, hospital notes and referral information. Assist Medical Assistants in checking insurance verifications and completing requisition forms as needed.
  7. Prepare exam rooms and assist provider with various procedures and accurately document results of completed procedures. The ability to train other personnel on appropriate procedure protocols.
  8. Efficient in all point of care tests and available testing in clinic.
  9. Assist the DOCS in assuring supplies are ready and that inventory of supplies is maintained to meet the needs of the clinic and provide support to other clinics as needed.
  10. Keeps equipment operating by following operating instructions, troubleshooting breakdowns, maintaining supplies, performing preventative maintenance and calling for repairs.
  11. Maintain a safe, secure, and healthy work environment by following and enforcing established policies and procedures and the ability to professionally encourage others to do the same to support a healthy team atmosphere.
  12. Maintain patient confidentiality and protect operations by keeping protected health information confidential and secure.
  13. Participate in mandatory in-services and drills, attend staff meetings and other trainings, including appropriate age-specific educational trainings offered on a regular basis for professional development.
  14. Maintain strict adherence to infection control guidelines established by the organization.
  15. Participate in quality improvement activities by initiating or contributing to monitoring, measuring, analyzing, improving and/or controlling program goals, objectives and/or services. Including calling and notifying parents/guardians of vaccines needing updates.
  16. Support current incentive, regulatory and certification requirements (such as Meaningful Use, PCMH and UDS) through documentation, participation in initiatives, and other activities as directed.
  17. Assist the DOCS in the maintenance of vaccine records and vaccine inventory, assuring vaccines are documented accurately and that stock is maintained to meet clinic population needs for both State Vaccines and Private Stock. Removes inventory for vaccine procedures in the absence of the DOCS to assure accuracy of delivery to patients. Completes all requirements and education dictated by the NCIR guidelines for administrator backup. Assist as directed by DOCS for reports and follow-up records, reports, and notifications. Is part of the response team for power outages at the direction of the DOCS to assist with transportation of vaccines as needed.
  18. Maintain lead in the training and onboarding of new employees to the clinical setting and give feedback of needs and training opportunities to the DOCS.
  19. In the absence of the DOCS, the Lead MA would facilitate the clinic huddle and manage all clinical concerns in collaboration with providers apart from triaging.
