Job summary

A dynamic solutions provider in Zebulon, NC is looking for a Labor Coordinator- Mechanical to manage administrative support for the Field Ops team. The successful candidate will coordinate schedules and training for mechanical labor, and handle communication across departments. The ideal applicant should have strong MS Office skills and knowledge of mechanical systems and construction, and must pass a background check and drug test. Competitive benefits offered.

Responsibilities

  • Provide day-to-day administrative support for Field Ops Manager.
  • Collect and manage manpower needs for projects.
  • Coordinate temporary labor and ensure training is complete.
  • Manage timekeeping platform and ADP Time & Attendance.
  • Coordinate travel arrangements for the Mechanical Construction Department.

Role And Responsibilities
  • Day to day administrative support for Field Ops Manager.
  • Work with Superintendents, Project Managers, Field Ops Manager, Project Executives, and Operations Manager to develop schedules for field labor short-term schedules according to project needs and in planning long-term schedules.
  • Coordinate manpower needs with other departments when necessary
  • Coordinate temporary labor externally when necessary. Ensure temporary agencies receive specific job requirements prior to coming onsite
  • Coordinate new hire transition between HR and Field Ops Manager. Ensure mechanical training is complete prior to joining the field
  • Coordinates crew changes and updates accordingly for timekeeping platform. Serves as main oversight for ADP time and attendance
  • Manage HILTI ON!Track for Mechanical Construction. Create and update Job Locations. Track to close in job file.
  • Schedule and review HILTI ON!Track Jobsite Audits. Document tool discrepancies in job file. Communicate with Asset Coordinator and Accounting prior to closing
  • Coordinate field class schedules; track employee badges and certifications. Coordinate with Safety Director for certification renewal when necessary
  • Coordinate travel arrangements for Mechanical Construction Department per company guidelines/policy
  • Attend weekly project meeting agendas when necessary
  • Provide support to field staff for ADP Time & Attendance; assist in general troubleshooting
  • Assist Project Coordinator in acting as a liaison between other departments and the project teams to fulfill project needs
  • Establish solid communication with all staff, both field and corporate, customers and vendors
  • Other such duties and responsibilities as needed
Qualifications
  • Demonstrated proficiency in MS Office (excel, word, power point, Share Point), and basic Windows environment.
  • Knowledge of Mechanical Systems and construction is a plus.
  • Demonstrated competence in written and verbal communication skills.
  • Ability to positively represent the company and communicate with others at varying technical levels.
  • Knowledge of Microsoft Dynamics GP/WennSoft, a plus.
  • High School Diploma or Equivalent preferred.
  • Must successfully pass a background check & drug test.
  • Physical Demands: Constant sitting, walking short distances, bending, stooping, twisting, reaching above and/or below shoulder, handling/grasping documents or office equipment, clear speaking and adequate hearing sufficient to communicate effectively and respond appropriately in-person and/or on the telephone, vision sufficient to read source materials and computer screen data, repetitive motions for computer equipment use, lift 25 lbs. occasionally, 5-10 lbs frequently to lift/carry/move objects, files and documents.
