Helen Ross McNabb Center is seeking an Administrative Assistant to support the Knox C&Y IST team in outpatient clinics. You will maintain schedules, handle calls and emails, and assist with intake processes to ensure timely service delivery.

The role requires previous clinic reception experience, a high school diploma or equivalent, CPR certification, and physical ability to lift up to 50 lb. This is a full-time, on-site position with travel between locations as needed.

Qualifications

Responsibilities

  • Maintain schedule for all Knox C&Y IST clinicians, staff psychiatrists, and APNs; coordinate with centralized scheduling to meet productivity standards. Input and print necessary information in Athena daily, keep cancellation list updated, and manage changes in schedule promptly.
  • Manage all phone calls and messages for nurses, clinicians, and staff psychiatrists/APNs. Answer calls from 8 AM to 5 PM, scribe and direct messages accurately, and triage priorities throughout the day.
  • Support clinic flow through Open Access model for intake assessments and ensure clients are seen on the day of intake when possible.

Knox C&Y IST Administrative Assistant

Position at McNabb Center to support the Child & Youth Intensive Service Team (C&Y IST) in outpatient clinic settings.

Job Purpose / Summary

The Knox C&Y IST team functions as a multidisciplinary group of providers in therapy, case management, care coordination, and medication management for children and adolescents aged birth to 21 years. This administrative assistant contributes to the team by maintaining a positive work climate, fostering harmonious relationships among staff, performing scheduling and communication duties, and ensuring timely response to all calls, flags, and emails.

Duties / Responsibilities
  • Be on time for each shift.
  • Provide direction to clients and maintain up‑to‑minute schedule on the EMR.
  • Respond to all calls, flags, and emails within 24 hours.
  1. Maintain schedule for all C&Y IST clinicians, staff psychiatrists, and APNs; coordinate with centralized scheduling to meet productivity standards. Input and print necessary information in Athena daily, keep cancellation list updated, and manage changes in schedule promptly.

Typical Working Conditions / Environment

Outpatient office setting.

Compensation

Starting salary approximately $16.84 per hour, based on experience and education.

Schedule

Reliable, predictable 40 hours per week on site with regular attendance.

Travel

Travel between McNabb locations and use of a personal vehicle is required; maintaining dependable vehicle and certified driver status is a condition of employment.

Equipment / Technical Competency
  • Computer, Microsoft Office, EMR, and phone system competency.
  • Ability to learn and retain training on faxing, and follow policies and procedures for medical documentation/PHI.
Qualifications
  • Previous face‑to‑face experience in an office/clinic setting.
  • High school diploma or equivalent with experience in reception, administrative duties, and scheduling.
  • HWC/CPR certification.
  • Ability to hear loud and soft tones accurately.
  • Sound judgment under pressure.
  • Ability to lift up to 50 lb and push/pull up to 150 lb.
  • Frequency of sitting, standing, walking, bending, stooping, and reaching.
  • Training and certification in verbal de‑escalation and personal/client safety techniques.
