Job summary

Viability is seeking a Junior Talent Acquisition Specialist to support full-cycle recruitment across our program sites. You will assist with sourcing, screening, scheduling, and coordinating interviews while maintaining candidate data in our ATS. Travel to Viability locations is required to support events and onboarding.

The role offers a Monday–Friday schedule, with a focus on building diverse candidate pipelines and providing a positive candidate experience as part of the HR team.

Qualifications

  • Associate’s or Bachelor’s degree in HR, business, communications, or related field.
  • 1–2 years in recruiting, HR, talent acquisition, or related support roles.
  • Strong organizational skills and multitasking ability.
  • Excellent interpersonal and communication skills.
  • Familiarity with ATS/HRIS and standard recruiting practices.
  • Understanding of EEO/AA principles or willingness to learn.
  • Proficiency with Microsoft Office, especially Outlook, Word, Excel.
  • Experience with SharePoint for document management.
  • Willing to travel to Viability locations and program sites as needed.
  • Flexible schedule including evenings and weekends when required.

We are seeking a Junior Talent Acquisition Specialist to join our Human Resources team and support recruitment efforts across Viability’s business locations and program sites. This is an excellent opportunity for an early-career HR or recruiting professional to gain hands-on experience across the full recruitment lifecycle while working closely with the Director of Talent Acquisition and hiring leaders throughout the organization.

Position Summary:

The Jr. Talent Acquisition Specialist assists the Director of Talent Acquisition with day-to-day recruitment activities across Viability. This position supports sourcing, candidate screening, interview coordination, recruiting administration, and other activities throughout the full-cycle recruitment process. The Specialist plays an important role in helping Viability attract and engage diverse, qualified candidates while providing a professional and positive candidate experience. The successful candidate will be organized, responsive, detail-oriented, and comfortable building relationships with candidates, hiring managers, community partners, and other stakeholders. This position is also an opportunity to develop expertise in talent acquisition, applicant tracking systems, recruiting metrics, community-based recruitment, and employment practices while modeling Viability’s mission and core values.

Duties and Responsibilities:

  • Assist the Director of Talent Acquisition with sourcing, screening, scheduling, and coordination activities for open positions across the organization.
  • Source candidates through job boards, social media, community organizations, colleges, vocational programs, internal referrals, and other recruiting channels to build diverse and qualified candidate pipelines.
  • Post and maintain open positions on job boards, Viability’s career website, and the applicant tracking system (ATS), ensuring postings are accurate, current, and appropriately targeted.
  • Conduct initial resume reviews and introductory phone screens to assess basic qualifications, availability, interest, and alignment with position requirements.
  • Refer qualified candidates to the Director of Talent Acquisition and/or hiring managers for further consideration.
  • Coordinate and schedule candidate interviews with hiring managers, including calendar coordination, interview logistics, and travel arrangements when needed.
  • Maintain accurate and timely candidate information in the ATS, including application status, interview activity, disposition information, and other required recruiting data.
  • Assist with pre-employment activities, including reference checks, background checks, and required employment documentation, in accordance with Viability policies and applicable laws and regulations.
  • Support new hire onboarding coordination by partnering with the Director of Talent Acquisition and Human Resources to facilitate a smooth transition from offer acceptance through the employee’s start date.
  • Assist with recruiting metrics and reports, including time-to-fill, source of hire, requisition status, candidate activity, and other key performance indicators.
  • Maintain accurate spreadsheets and recruiting reports and assist with monitoring and reporting Talent Acquisition KPIs.
  • Represent Viability at job fairs, career fairs, community events, campus recruiting activities, and other recruitment events.
  • Develop and maintain positive working relationships with community organizations, colleges, vocational programs, staffing vendors, and other external recruitment partners.
  • Assist with developing and maintaining talent pipelines for recurring and hard-to-fill positions.
  • Provide timely, professional communication to candidates throughout the recruitment process and help ensure a positive candidate experience.
  • Maintain organized requisition files, recruiting correspondence, and other Talent Acquisition records.
  • Provide general administrative and operational support to the Talent Acquisition function.
  • Perform other duties as assigned or required.

Required Qualifications:

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, Communications, Organizational Development, or a related field preferred; an equivalent combination of education and relevant experience will be considered.
  • One to two years of experience in recruiting, human resources, talent acquisition, administrative support, customer service, or a related field preferred.
  • Strong organizational skills and attention to detail, with the ability to manage multiple open requisitions, candidates, deadlines, and competing priorities.
  • Strong interpersonal and communication skills, with the ability to interact professionally and effectively with candidates, hiring managers, employees, community partners, and external vendors.
  • Working knowledge of, or demonstrated willingness to learn, applicant tracking systems (ATS), HRIS platforms, and standard recruiting practices.
  • Basic understanding of Equal Employment Opportunity (EEO) and Affirmative Action principles as they relate to recruitment, or willingness to learn under the guidance of the Director of Talent Acquisition.
  • Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
  • Proficiency with SharePoint is required, including the ability to organize, maintain, and retrieve documents and information.
  • Intermediate-level Excel skills, including the ability to create, maintain, organize, and accurately update spreadsheets and use basic formulas for recruiting metrics and KPI tracking.
  • Ability to learn and effectively use new HR, recruiting, and business systems.
  • Ability and willingness to travel to Viability’s business locations and program sites as needed for recruitment activities, job fairs, community events, and other Talent Acquisition initiatives.
  • Must have a flexible schedule and be available to occasionally participate in recruiting events or activities outside of standard business hours, including evenings and weekends.
  • Candidates who are not based in Westfield, MA must be able to travel to the Westfield office three days per week during the initial training period. (Initial training period TBD.**)
  • Reliable transportation and ability to travel between Viability locations and community recruitment events as required.
  • Ability to maintain confidentiality and exercise appropriate discretion when handling candidate and employee information.

Preferred Qualifications:

  • Previous experience supporting full-cycle recruitment or high-volume recruiting.
  • Experience with an applicant tracking system (ATS) or HRIS.
  • Experience recruiting for healthcare, human services, nonprofit, behavioral health, or other mission-driven organizations.
  • Experience with community-based recruitment, job fairs, campus recruiting, or workforce development programs.
  • Experience using Excel to track, analyze, and report recruiting metrics.
  • Familiarity with EEO, Affirmative Action, and fair hiring practices.
  • Experience using SharePoint for document management and collaboration.
  • Bilingual Spanish/English proficiency is a plus, but Spanish fluency is not required.
