Position Summary

The Program & Special Projects Coordinator supports the planning, coordination, and execution of programs, events, and strategic initiatives at The Jacobson Institute. This position plays an integral role in advancing the Institute's mission by overseeing assigned projects, coordinating educational programs and events, and providing operational and administrative support.

The ideal candidate is highly organized, self-motivated, and collaborative, with the ability to manage multiple priorities while maintaining attention to detail. This individual will independently coordinate smaller projects and initiatives while working closely with the Executive Director to support larger Institute priorities and community partnerships.

Essential Responsibilities
  • Program & Project Coordination
  • Coordinate the planning, implementation, and evaluation of assigned programs, initiatives, and special projects.
  • Independently manage smaller projects from inception through completion, ensuring timelines and deliverables are met.
  • Develop project plans, timelines, and tracking tools to monitor progress.
  • Coordinate meetings, logistics, communications, and project documentation.
  • Monitor project milestones and provide regular updates to the Executive Director.
  • Assist with research, planning, and implementation of new programs and strategic initiatives.
  • Conduct post-event evaluations and recommend improvements for future programming.
Administrative & Operational Support
  • This role requires a set number of hours to be worked each week, with increased hours and workload during the school year to support busier periods.
  • Prepare correspondence, calendar invitations, and other administrative materials.
  • Maintain calendars, project files, databases, and participant records.
  • Assist with purchasing requests, invoices, and expense reconciliation.
  • Perform other duties and special projects as assigned by the Executive Director.
Work Environment

This position operates primarily in a professional office environment with frequent interaction among students, faculty, staff, employers, and community partners. The role requires flexibility to support off-site events and occasional travel within the region.

QualificationsRelevant Education & Experience
  • Associate degree, professional certification, industry credential, or an equivalent combination of education, training, and relevant work experience preferred.
  • Two (2) or more years of experience coordinating programs, projects, events, or administrative operations in higher education, nonprofit, business, government, or community organizations.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong organizational skills with strong attention to detail.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and common collaboration platforms.
  • Ability to work independently while exercising sound judgment and initiative.
Preferred Qualifications
  • Experience coordinating workforce development, professional development, educational, or community-based programs.
  • Experience planning meetings, conferences, or special events.
Physical Requirements
  • Ability to work at a computer for extended periods.
  • Ability to occasionally lift and transport materials weighing up to 25 pounds.
  • Ability to travel locally for meetings and events when necessary.
  • Occasional evening or weekend hours may be required to support Institute programming and special events.
