Job summary

Ice Miller LLP is seeking an IP Operations Manager to oversee the IP practice’s day-to-day operations, optimize resource use, and implement firm-wide procedures. You’ll collaborate with attorneys, patent agents, and staff across multiple offices to deliver timely, high-quality IP services.

The role requires strong IP workflow knowledge, leadership, and the ability to drive process improvements in a fast-paced environment. Salary ranges are commensurate with location and experience.

Qualifications

• Bachelor’s degree required.
• Minimum of 5 years of experience handling complex patent/IP administrative duties including filings and docketing.
• Prior IP paralegal/assistant experience with supervisory experience preferred.
• Strong understanding of U.S. patent and trademark rules and procedures.
• Proficient with Microsoft Office Suite; IPDAS and PTO systems experience.
• Ability to supervise staff and improve workflow and efficiency.

Responsibilities

• Coordinate development and implementation of best practices for IP filing, docketing, and client communications.
• Assess and improve IP prosecution processes; identify workflow improvements with practitioners.
• Maintain central training materials, schedules, and standard filing checklists.
• Ensure data integrity in IP prosecution databases; assist with audits and reporting.
• Update USPTO accounts for the department and communicate system changes.
• Serve as primary contact with IP partners regarding policies and procedures.
• Keep current on USPTO/PCT developments and incorporate into training materials.
• Oversee file intake and transfer for IP department records; assist with filings as needed.
