Job summary

Cooley LLP is seeking an IP Docketing Specialist (Trademark, Copyright, & Advertising) to join the IP Services team. The role performs daily docketing for US and foreign IP matters, communicates with practitioners and staff, and ensures accurate processing of PTO filings and USPTO notices while maintaining strong attention to detail.

Hybrid schedule allows in‑office and remote work. Ideal candidates have 3+ years of IP docketing experience, proficiency in Microsoft Office and iManage, and

Qualifications

  • Must have IP docketing experience and proficiency with Microsoft Office and iManage.
  • 3+ years of IP docketing experience required.
  • Bachelor’s degree preferred to support complex IP workflows.

Responsibilities

  • Accurately perform daily docketing and dedocketing of US and foreign IP matters.
  • Communicate with practitioners, paralegals, and specialists to confirm actions.
  • Process PTO filings and USPTO notices; monitor deadlines and respond proactively.
  • Navigate USPTO PAIR, WIPO, EPO and other IP offices.
  • Assist with data, reports and charts from IPMS.
  • Uphold second eye policy and quality checks; stay current with IP prosecution changes.

IP Docketing Specialist (Trademark, Copyright, & Advertising)Cooley is seeking an IP Docketing Specialist (Trademark, Copyright, & Advertising) to join the IP Services team. **\\*Hybrid Schedule Philosophy**: As part of the Cooley culture, we recognize and appreciate the value of being together, in person, to build comradery with others in the office and to be a contributing member of the Cooley office. As such, the default assumption for employees and partners is a hybrid schedule: some in-office presence and some work from home days. Employees on a hybrid work schedule must work from their regular state of residence during hybrid remote days and are expected to be within a commutable distance of a Cooley office. (Department director or manager will provide direction on your schedule and any in-office expectations). **Position summary:** The IP Docketing Specialist is responsible for efficient and accurate completion of IP (Patent/TCA) docketing functions in accordance with firm and IP practice procedures and policies. Specific duties and responsibilities include, but are not limited to, the following: **Position responsibilities:** · Accurately and reliably perform daily docketing and/or de-docketing functions of US and foreign IP matters firm wide, processing IP correspondence to and from clients, foreign associates, and government IP offices with an emphasis on attention to detail · Regularly communicate with practitioners, paralegals and specialists to ascertain actions being taken · Provide superior customer service to the IP Services group by keeping practitioners, paralegals and specialists advised of matters arising with applications/registrations · Review PTO filings and process electronic filing notices from the USPTO · Navigate various US and Foreign sites, including but not limited to USPTO PAIR, WIPO, EPO, etc. · Assist practitioners, paralegals and specialists with obtaining data, reports, and charts from the IP Management System (IPMS) · Confirm that all critical deadlines have been handled appropriately, following up as needed, and proactively seek guidance for any unresponsive client teams · Follow second eye policy and other quality checks to ensure accuracy · Keep current with regulatory changes in IP prosecution**Skills and experience:** Required: · After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications · Available to work overtime, as required · 3+ years of relevant IP experience Preferred: · Bachelor’s degree · Previous law firm experience · Experience researching IP status and history in PTO databases, including USPTO systems (TSDR, TESS, ID Manual), WIPO Madrid Monitor, the EUIPO eSearch, TMview, as well as public databases in other jurisdictions · Possess working knowledge and keep abreast of rules according to USPTO procedures, 37 C.F.R., the Trademark Manual of Examining Procedure (TMEP) **Competencies:** · Ability to work independently and under pressure/tight time constraints · Aptitude for multi-tasking · Creative and entrepreneurial approach to problem-solving and process improvement · Strong analytical ability and implementation skills · Strong project management skills · Flexible and agile, ability to reprioritize with changes in the business · Ability to meet deadlines and effectively complete operational and project-based assignments · Strong initiative and a get-it-done attitude · Excellent communication, interpersonal, leadership and management skills · Customer service oriented, as demonstrated by strong attention to detail, organization and ability to prioritize work tasks and manage deadlines based upon internal and external client needs Cooley offers a competitive compensation and excellent benefits package and is committed to fair and equitable employment practices. EOE.The expected hourly pay range for this position with a work schedule of 40 hours per week is $39.50 - $58.00 ($82,160 - $120,640 annually).
