Job summary

Responsibilities

  • Process and docket incoming mail and emails to track deadlines.
  • Analyze and format data in Excel for in-house counsel or clients.
  • Communicate docketing matters with timekeepers and staff.
  • Update docketing systems and circulate docket sheets.
  • May handle international patent requests and related correspondence.
  • Monitor PTO requirements and manage patent annuities and renewals.

About the Position:

Armstrong Teasdale is seeking an Intellectual Property (IP) Docket Coordinator to join its St. Louis office.The Docket Coordinator manages the docket system to track deadlines and mitigate malpractice. This role may support US or foreign docketing processes and will support Intellectual Property.

Essential Functions:

  • Process and docket incoming mail, both electronic and physical
  • Process and docket email requests from attorneys, secretaries and others
  • Analyze and format data in Excel to provide to in-house counsel or client
  • Communicate with timekeepers regarding docketing matters
  • Update docketing system when a matter has been abandoned; circulates docket sheets and pull hard copy file for circulation
  • Serve as backup to ensure that client docketing system is updated
  • May download and save pleadings to the firm’s internal document management system / case docket and circulate to the case team
  • May handle International Patent requests for examinations, notices of allowances and intents to grant; draft emails for review by attorneys; communicate information to Client or Foreign Associate; update docket and client database
  • May review docket and documentation regarding requirements from the Patent and Trademark Office (PTO) of a specific country;update any relevant correspondence and documentation to client database; gather all patent-related documents and forward to the Foreign Associates
  • May handle Patent Annuities and Renewals by tracking and monitoring due dates; create charts for clients including obtaining instructions from client; process payments for annuities and maintenance fees
  • May update docketing system with granted patent information and forward original patents to clients
Job Qualifications:
  • Education: High school diploma or equivalent; Associate Degree preferred
  • Required Licenses and/or Certifications: N/A
  • Preferred Experience: 2 or more years office experience

Work Model:

This role follows a hybrid work arrangement and requires a regular onsite presence of at least four (4) days per week in the Firm’s St. Louis office.
