Job description

We are looking for a meticulous and proactive Inventory Specialist to join our team. This role is pivotal in ensuring the accuracy and efficiency of our inventory management processes. The Inventory Specialist will oversee the reconciliation between our company’s system and third‑party logistics (3PL) warehouse systems, work with logistics coordinators to resolve transaction issues, and continuously improve inventory control practices. Additionally, the specialist is expected to lead initiatives aimed at enhancing inventory accuracy, reducing discrepancies, and optimizing the overall supply chain workflow.

ESSENTIAL JOB FUNCTIONS
  • Oversee the reconciliation process between the company’s ERP system and the 3PL warehouse systems to ensure data accuracy and consistency.
  • Prepare inventory records for month‑end close.
  • Perform regular comparisons to the 3PL warehouse inventory report; investigate discrepancies with the logistics department and report necessary adjustments to the Warehousing & Inventory Management Manager.
  • Organize and facilitate physical inventories, amount and analyze results.
  • Manage all donations, defective, and expired products in the 3PL warehouses, communicating with the appropriate teams.
  • Review and approve invoices related to storage operations and special services.
  • Conduct regular audits of the 3PL warehouses to ensure compliance with company policies and procedures.
  • Develop and implement strategies to improve inventory control processes and reduce discrepancies.
  • Generate and analyze inventory reports to provide insights and recommendations for inventory management improvements.
  • Maintain and update inventory records in the company’s system, ensuring all transactions are accurately recorded.
  • Identify opportunities for process improvements in inventory management and implement best practices.
  • Liaise with various departments, including accounting, supply chain, sales, and logistics to ensure smooth inventory operations.
  • Maintain constant communication with the 3PL warehouses regarding inventory topics.
EDUCATION AND EXPERIENCE
  • Bachelor’s degree in supply chain management, logistics, business administration, accounting or a related field.
  • Minimum of 3 years of experience in inventory control, warehouse management, or logistics.
KNOWLEDGE AND SKILL REQUIREMENTS / SPECIALIZED COURSES AND/OR TRAINING
  • Strong command of Microsoft Office Suite, particularly Excel (Pivot tables, Macros, XLOOKUP, etc).
  • Experience with 3PL systems and a solid understanding of supply chain processes.
  • Experience using Dynamic365 Business Central, Oracle, SAP or any other ERP system.
  • Knowledge of inventory management processes and best practices.
  • CPIM Certification – Preferred.
LANGUAGE AND COMMUNICATION SKILLS
  • Effective communication, including writing, speaking, and interpersonal communication.
  • Strong relationship‑building skills and customer service orientation.
PHYSICAL, SENSORY, AND MOTOR DEMANDS
  • Frequent standing and sitting; intermittent squatting, bending, twisting, lifting. Requires excellent visual acuity and auditory sense; noise level is usually quiet.
  • Requires willingness to travel as needed to support organizational goals.
