Job summary

Bill Jacobs BMW in Naperville, IL is seeking an Inventory and Finance Assistant to support Sales, Finance & Insurance, and vehicle inventory operations. • Previous automotive dealership experience is strongly preferred.
• Experience in Sales Administration, F&I, deal processing, inventory, or vehicle accounting is a plus.
• CDK experience preferred; BMW systems experience is a strong advantage.
• Excellent attention to detail, organization, and follow-through.
• Strong communication and computer skills.
• Ability to manage multiple priorities and confidential information.
• Proactive attitude with a willingness to take ownership from start to finish.

Responsibilities

• Review completed deals for accuracy and assist with processing to Accounting.
• Manage BMW Retail Delivery Reporting (RDR), incentives, rebates, and related reporting.
• Assist with F&I contracts, products, cancellations, documentation, and customer follow-up.
• Receive and stock-in new and used vehicles, create stock numbers, and maintain accurate CDK records.
• Manage vehicle keys, deal jackets, Carfax reports, and inventory documentation.
• Coordinate Certified Pre-Owned (CPO) processing and required BMW documentation.
• Coordinate dealer trades and related vehicle and title paperwork.
• Manage Service Loaner RDR, vehicle status, tracking, and stock-in.
• Conduct weekly physical inventory audits and resolve discrepancies.
• Assist with month-end reconciliations, manufacturer funds, warranty/product cancellations, and reporting.
• Provide administrative and operational support to Sales and F&I leadership.

About the Opportunity

Bill Jacobs BMW is seeking a highly organized, detail-driven, and proactive Inventory and Finance Assistant to support our Sales, Finance & Insurance, and vehicle inventory operations.

This is a hands-on dealership operations role responsible for helping ensure vehicle inventory is accurately received and accounted for, deals and manufacturer reporting are processed correctly, CPO and dealer trade processes are completed timely, and Sales and F&I operations run efficiently.

The ideal candidate is someone who takes ownership, catches details others may miss, and thrives in a fast-paced dealership environment. This person will work closely with Sales, F&I, Accounting, Service, Inventory, and dealership leadership to keep vehicles, paperwork, reporting, and operational processes moving.
