Job summary

New Mexico School for the Deaf is seeking an Interpreter Scheduling Specialist to receive and schedule interpreting requests, perform administrative duties for the Interpretation and Translation Department, and support the department’s mission through professional coordination with staff and interpreters.

The role involves maintaining interpreter credentials, coordinating calendars, and training users on the interpreter scheduling system, with emphasis on confidentiality and positive, respectful

Qualifications

  • AA/BA preferred.
  • Experience scheduling interpreters or multiple on-going meetings preferred.
  • Minimum ASL fluency required, ASL proficiency preferred.

Responsibilities

  • Assists in coordination of the interpreting schedule and coordination of documents to be translated, following internal procedures for resolving routine scheduling conflicts independently and referring to the Coordinator of Interpretation and Translation for non-routine or complex matters.
  • Ability to adjust quickly to an ever-changing schedule, flexible with constantly changing demands and able to multi-task effectively without losing track of tasks.
  • Communicates in a positive and effective manner with staff, students, co-workers, contractors and/or visitors.
  • Manages and organizes all meetings, assignments, requests, and details of the department schedule.
  • Provides training for NMSD community on the use of interpreter scheduling system.
  • Communicates with internal NMSD staff regarding interpreting requests made. Ensures that all information necessary is obtained prior to booking interpreters.
  • Composes and sends prep materials to interpreters as needed.
  • Prepares and enters documents into electronic and manual records using computer hardware and software. Maintains accurate and current record of interpreter credentials.
  • Compiles, records, and reports departmental information to the Coordinator of Interpretation and Translation.
  • Performs various record, bookkeeping and filing system duties.
  • Enters requisitions into system when needed, performs billing, invoicing and statistical reporting duties.
  • Accepts incoming calls and correspondence and responds independently when possible.
  • Assists in the preparation of memorandums.
  • Prepares agendas and materials for departmental meetings and takes notes during these meetings.
  • Acts as custodian of departmental documents and records.
  • Prepares and modifies confidential correspondence, reports, and other complex documents.
  • Ensures operation of equipment (printer, iPads, headsets, etc.) by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories.
  • Maintains supplies inventory by checking stock and anticipating needs; places, verifies and expedites orders for supplies.
  • Creates and maintains record of all Interpreter and Translator contracts.
  • Performs clerical and administrative support duties, including drafting written materials, filing, and operating office equipment.
  • Demonstrates involvement as a team member by contributing to the department’s philosophy, vision, and goals. Participates in and contributes to monthly staff meetings.

Employment Term: 12 month, Exempt

Salary/Wage Range: $45,273.00-$72,819.00 (New hires are offered up to mid-range, dependent upon qualifications and experience.)

Summary

Receives and schedules interpreting requests in accordance with departmental procedures and direction from the Coordinator of Interpretation and Translation. Performs scheduling and administrative duties for the Interpretation and Translation Department in a positive and receptive manner, while helping to advance the mission and vision of New Mexico School for the Deaf. In addition to scheduling, filing, and written correspondence, the position involves frequent interactions with a diverse group of NMSD staff members at all levels of the organization via telephone, video phone, email, and in person. Brings experience and/or training in the interpreting profession to administrative duties—maintenance of confidentiality, professional conduct, and appearance are requirements of this position. This is a position of trust, privy to professional and personnel information, which must be held in confidence.

It is anticipated and expected that all functions of this position will be performed in a positive and respectful manner, with a strong focus on advancing the mission and vision of New Mexico School for the Deaf.
