About the Job

The Internal Project Coordinator serves as the operational hub between our customers, the sales team, service / transportation / disposal partners, and our field operations team. This role is responsible for coordinating the administrative, logistical, financial, and other project management-related activities to ensure projects move efficiently from initial customer request through estimating, shipment, final disposal, and ultimately invoicing. Success in this role requires strong organizational skills, attention to detail, proactive communication, and the ability to manage multiple priorities in a fast-paced environment. The Internal Project Coordinator plays a critical role in ensuring our customers receive accurate, timely, and professional service while helping our operations team execute projects efficiently and compliantly.

Role Overview
  • Serves as the primary point of coordination between NuLine's sales team, field operations, transportation providers, disposal facilities, vendors, and customers to ensure projects are properly planned and executed from estimate through final invoicing.
  • Develops accurate project estimates by obtaining vendor pricing, evaluating disposal options, and coordinating logistics that align with customer requirements and operational capabilities.
  • Creates and maintains records within the company's ERP system, ensuring all backup documentation, pricing, customer information, and supporting data remain accurate and current throughout the project lifecycle.
  • Coordinates with transporters, disposal facilities, and service partners to obtain pricing, schedule services, resolve issues, and maintain strong working relationships.
  • Reviews completed projects to identify billing discrepancies between estimated and actual services, ensuring discrepancies and changes are resolved prior to invoicing.
  • Maintains and updates customer pricing, vendor pricing, disposal profiles, and other operational data to support accurate estimating and efficient project execution.
  • Builds a strong understanding of industrial waste management, logistics, regulatory compliance, and company operations through continuous training and coaching.
  • This role requires consistent use of computer-based systems; candidates must be comfortable working in ERP platforms, Microsoft Office applications, Apple product suite/systems, and standard business software without hands‑on technical assistance.
  • Communicates proactively with internal teams, customers, vendors, and service providers to ensure expectations are aligned and projects continue moving forward.
  • Identifies process improvement opportunities that increase operational efficiency, improve customer experience, and reduce project delays or billing discrepancies.
  • Promotes and maintains a safe, organized, and high‑morale work environment.
  • Completes special projects and additional duties as assigned to support operational excellence.

Qualifications

Required

  • High school diploma with some college coursework or equivalent related experience.
  • Driven, high energy individual that communicates and interacts well in a team environment
  • Strong customer service and communication skills
  • Strong organizational and time management abilities.
  • Valid driver's license and authorization to work in the United States.

Preferred

  • Two or more years of experience in industrial services, environmental services, logistics, or project coordination.
  • Experience working with databases, ERP systems, or project management software.
  • Working knowledge of DOT Title 49 CFR Hazardous Materials Transportation, RCRA Title 40, TCEQ 30 TAC 335, waste profiling.
  • Ability to travel to customer locations as needed.
