Job summary

Air Treatment Corporation is seeking an Internal Customer Coordinator – Parts Department to provide end-to-end parts and warranty support for our internal service teams. You will own requests from intake to resolution, manage orders, confirm pricing, and monitor status to minimize downtime.

The ideal candidate has 2+ years in parts or related fields, HVAC knowledge, strong organization, and experience with ERP/CRM systems.

Qualifications

2+ years in parts, order management, customer service, warranty administration, purchasing, or related field.
Experience with HVAC, mechanical or industrial equipment preferred.
Excellent organization and attention to detail.
Strong written and verbal communication; responsive with urgency.
Experience with ERP, inventory, CRM, or order management systems.
Knowledge of manufacturer parts catalogs or warranty portals.

Responsibilities

Serve as primary contact for internal parts requests from Field Service, Aftermarket, and Data Center Service teams.
Manage parts orders from request to fulfillment, shipping, invoicing, and closeout.
Confirm pricing, availability, and lead times with manufacturers and suppliers.
Monitor open orders and communicate status, delays, and delivery dates.
Expedite urgent and emergency orders to minimize downtime.
Resolve order discrepancies and coordinate returns or replacements.
Assist with parts identification, cross-references, and manufacturer product information.
Manage warranty claims from intake through submission and follow-up.
Track claims and escalate aged or disputed ones.
Maintain warranty records and preparation for audits.
Coordinate cycle counts and inventory accuracy.
Provide guidance to internal teams regarding parts ordering and warranty procedures.
