Job summary

Easterseals Florida is seeking an Intake Specialist to warmly greet families and guide them through intake paperwork, scheduling, and account setup. You’ll coordinate appointments and ensure timely access to services, while tracking insurance authorizations and payments.

Maintain accurate records and support grant reporting with a confidential, team-based approach. The role offers Medical/Dental/Vision plans, paid time off, and a Monday–Friday 8:00 am–5:00 pm schedule in Florida, with a pay rate

Qualifications

• High School Diploma required; Bachelor’s degree preferred.
• At least 1 year of administrative or office experience.
• Experience with medical billing, scheduling, or mental health services is a plus.
• Comfort using Microsoft Outlook, Word, and Excel.
• Strong communication, organization, and customer service skills.
• Professionalism and care when handling confidential information.
• Flexibility to work occasional extended hours or special events.
• Ability to meet our approved driver qualifications in order to drive your personal vehicle, as required, for program-related needs (minimum age of 21 and good driving history).
• An energetic, resourceful and professional individual who will promote a positive, respectful and team-based environment.

Responsibilities

• Warmly greet and support families by phone and email as they begin services.
• Guide clients through intake paperwork, scheduling, and account setup.
• Coordinate appointments and help ensure timely access to services.
• Obtain and track insurance authorizations and payment arrangements.
• Communicate approvals and next steps with families, providers, and billing teams.
• Maintain accurate records, reports, and databases.
• Support grant reporting, provider documentation compliance, and community outreach events.
