Job summary

Wedeking Law APC in Santee, CA is seeking an Intake Specialist who treats every call as an opportunity to protect a family’s future. You’ll guide prospects from first contact to consultations and strategy sessions with our attorneys.

You will respond to inbound leads within an hour, conduct discovery calls, book qualified families, confirm appointments, and manage the lead pipeline in Lawmatics. In-office, full-time, with bonus compensation available.

Qualifications

• Prior experience in law firm intake or similar client-facing role is important.
• Experience with a CRM such as Lawmatics or Clio is a plus.
• Ability to learn and use systems quickly and consistently.

Responsibilities

• Follow up with seminar registrants and attendees who didn’t book.

We are an estate planning firm in Santee, CA. Not a mill. Not a factory. We spend the time to sit down with families, ask real questions, and build plans that actually protect what they’ve spent a lifetime building. We do this work because it matters — and we’re growing because we do it well.

We need an Intake Specialist who gets that. Someone who understands that the person on the other end of the phone isn’t a lead — they’re a parent, a spouse, a homeowner who finally decided to do the right thing for their family. Your job is to make sure they don’t fall through the cracks.

What You Will Do

• Respond to all inbound leads — web, email, Facebook — within an hour
• Conduct 15-minute discovery calls to qualify potential new clients
• Book qualified families into consultations and strategy sessions with our attorneys
• Confirm appointments and chase down incomplete intake forms before the meeting
• Contact and re-engage past leads who never booked
• Manage the full lead pipeline in Lawmatics
• Follow up with every seminar registrant, no-show, and attendee who didn’t book — personally, by phone
• Call clients at planned intervals after we complete their estate plans to check in and, if they need something, connect them with one of our trusted referral partners
• Build and maintain our referral partner network — calls, cards, emails, local networking events

What We’re Looking For

We need someone who has done this before. Prior experience in law firm intake, medical office scheduling, insurance, real estate, or a similar client-conversion role is important. We don’t have time to teach someone what a pipeline is or why following up matters.

Experience with a CRM — Lawmatics, Clio, or similar — is a plus. What matters most is that you pick up systems quickly and use them consistently.

$26.00/hour. Full time. Monday through Friday, 9:00am to 5:30pm. In-office in Santee, CA.

There is bonus compensation available for overall performance.
