Requirements
The Intake Specialist supports resident intake, departure processing, documentation, and related resident services within a federally contracted ICE short-term residential facility in Alexandria, LA
Working closely with facility leadership, Family Services Staff, healthcare personnel, and other departments, the Intake Specialist coordinates and supports resident arrivals and departures, ensures required information and documentation are accurately collected and entered into applicable systems, and helps ensure intake and outtake processes are completed accurately and efficiently.
As operational needs require, the Intake Specialist also supports Family Services Staff with resident supervision, daily activities, resident needs, and other direct-service responsibilities. This role requires strong computer, communication, organizational, and customer service skills, attention to detail, sound judgment, and the ability to work effectively with children and families in a fast-paced, 24-hour residential environment.
Key Responsibilities/Essential Functions:
Resident Intake & Departure
- Coordinate and support resident intake and departure processes in accordance with established facility procedures.
- Collect, review, verify, and document required resident information.
- Complete required intake and departure forms, records, and documentation accurately and timely.
- Enter, update, and maintain resident information in approved electronic systems.
- Verify required information and documentation for completeness and accuracy.
- Coordinate with Family Services, healthcare, transportation, and other departments to support resident arrivals and departures.
- Identify missing or incomplete information and promptly notify appropriate personnel.
- Communicate relevant intake and departure information to appropriate facility personnel while maintaining confidentiality.
- Assist residents and families with understanding applicable facility processes and expectations.
Family Services Support
- Provide support to Family Services Staff based on resident and operational needs.
- Assist with the supervision and monitoring of children and families in designated areas.
- Support residents with daily routines, activities, meals, movement throughout the facility, and other needs as assigned.
- Help maintain appropriate resident accountability and awareness of resident locations.
- Assist with organized activities and other resident services as needed.
- Interact with residents in a respectful, culturally responsive, trauma-informed, and professional manner.
- Observe and promptly report resident concerns, safety issues, behavioral concerns, or other significant information to appropriate personnel.
- Provide additional Family Services support during periods of increased resident activity or staffing needs.
Documentation & Computer Systems
- Maintain accurate, timely, and complete intake, departure processing, and resident records.
- Accurately enter, update, retrieve, and maintain resident information using approved electronic systems.
- Use computer-based systems, email, Microsoft Office programs, and web-based applications throughout the workday.
- Review records and documentation for accuracy and completeness.
- Maintain confidentiality of resident information and protected records.
- Ensure documentation complies with applicable facility, contractual, and organizational requirements.
Collaboration, Compliance & Safety
- Communicate and coordinate professionally with Family Services Staff, healthcare personnel, transportation staff, facility leadership, residents, and other departments.
- Participate in shift briefings and communicate relevant information during shift transitions.
- Follow all facility policies, safety procedures, emergency protocols, safeguarding standards, and mandatory reporting requirements.
- Complete all required training and maintain required certifications.
Required Qualifications & Core Competencies:
- High school diploma or GED required.
- Minimum two (2) years of experience working with children, families, residential populations.
- Strong computer skills and proficiency with electronic documentation and information systems.
- Proficiency with email, Microsoft Office programs, and web-based systems.
- Ability to quickly learn facility-specific intake, departure, and resident tracking systems.
- Strong organizational skills and attention to detail.
- Ability to accurately collect, review, enter, and maintain resident information.
- Strong customer service, interpersonal, and communication skills.
- Ability to effectively interact with children and families from diverse backgrounds.
- Ability to manage multiple responsibilities and changing priorities in a fast-paced environment.

- Ability to obtain and maintain required background clearances.
Desired Skills:
- Previous experience with intake, admissions, registration, discharge, case support, or resident processing.
- Experience working with children and families in residential, shelter, healthcare, social services, education, childcare, or government-contracted environments.
- Experience with electronic records, data entry, or resident/client tracking systems.
- Bilingual proficiency in Spanish or another commonly encountered language.
- Training or experience in Trauma-Informed Care, crisis intervention, or de-escalation.
- Experience working in a fast-paced or highly regulated environment.
