Job Purpose Under the direction of the Program Manager, the Intake Coordinator/Outreach Specialist supports the success of the U.S. Customs and Border Protection (CBP) Workforce Wellness Program by coordinating community outreach, fostering strategic partnerships, and facilitating participant engagement. This role serves as a key representative of the program, promoting available services, increasing program awareness, and supporting outreach initiatives that enhance access to wellness resources for CBP employees and their family members.

Job Purpose Under the direction of the Program Manager, the Intake Coordinator/Outreach Specialist supports the success of the U.S. Customs and Border Protection (CBP) Workforce Wellness Program by coordinating community outreach, fostering strategic partnerships, and facilitating participant engagement. This role serves as a key representative of the program, promoting available services, increasing program awareness, and supporting outreach initiatives that enhance access to wellness resources for CBP employees and their family members. The position plays an integral role in planning and supporting outreach events, educational activities, and community engagement opportunities that strengthen program visibility and encourage participation. Through exceptional customer service, professional relationship-building, and effective communication, this role contributes to the overall mission, growth, and reputation of the Workforce Wellness Program while ensuring participants receive a welcoming and supportive experience.

Qualifications

Essential Job Responsibilities

• Conduct initial eligibility screenings for individuals and families seeking program services.
• Develop and maintain collaborative relationships with community organizations, referral partners, stakeholders, and service providers to increase awareness of and access to Workforce Wellness Program services.
• Provide information regarding available program services and connect individuals to appropriate internal services or community resources when they are ineligible for services or when program capacity is limited.
• Establish and maintain participant records and ensure all required intake documentation is completed accurately.
• Coordinate participant referrals and connect individuals with appropriate services, including wellness, fitness, case management, clinical, and other supportive resources.
• Monitor participant engagement and progression through program services, identifying and addressing barriers to successful participation when appropriate.
• Collaborate with the Program Manager to monitor referrals, intake activities, waitlists, and participant engagement outcomes.
• Maintain accurate records of outreach, intake, referral, and participant activities in accordance with program requirements.
• Collect and compile program data to support monthly, quarterly, and annual reporting requirements.
• Prepare reports on outreach activities, referral trends, participant engagement, and event outcomes as requested by leadership.
• Assist with planning, coordinating, and implementing program activities and special initiatives.
• Manage assigned responsibilities, prioritize workload effectively, and ensure timely completion of tasks and reporting requirements.
• Provide regular updates to the Program Manager regarding outreach efforts, community partnerships, participant trends, and program performance.
• Conduct outreach to potential referral sources and cultivate positive partnerships with community groups, vendors, healthcare providers, and other external stakeholders.
• Implement and execute effective outreach strategies to match the specific aims of the Workforce Wellness Program.
• Assist with the development of subcontractor agreements and amendments for external providers.
• Assist with the collection of required documents (licenses and certifications) for credentialing of providers.
• Represent the organization at community events, outreach activities and public facing activities to promote services and strengthen community connections.
• Maintain professional and ethical communication with all internal and external stakeholders to foster trust and build positive relationships.
• Collaborate with internal staff and external partners to identify opportunities for improved outreach, engagement, and service delivery.
• Evaluate event success and prepare reports as requested by leadership.
• Perform other duties as assigned in support of program and organizational objectives.

Essential Qualifications

Education: Bachelor’s degree in related field preferred, or equivalent experience.

Experience

• Proven ability to work cohesively as part of an interdisciplinary team
• 1+ years case management experience.
• 2+ years in a customer service focused environment preferred.
• Experience with law enforcement, veterans & their families is a strong plus.
• 2-3 years in outreach and marketing activities preferred
• Project management or event planning experience is highly desirable.
• Prior experience in outreach within community and/or veteran organizations is preferred.

Attendance: Must maintain regular and acceptable attendance at such level as is determined at the employer’s sole discretion. Works business hours but the position requires support before and after workday and weekends as assigned.

Licenses: Driver’s License must be valid and must be able to successfully pass a government background investigation.

Vehicle: Must have daily use of a vehicle without prior notice.

Other: Must be available and willing to travel to various locations and with such frequency as the business need dictates. Must not pose a direct threat or significant risk of substantial harm to the safety or health of themselves or others.
