Job summary

Operant Search Partners is seeking a Director of Intake for a multi-state ABA provider. This full-time, hybrid role leads the intake team from first family enquiry through admission, coordinating with clinical operations and other teams to ensure a warm, quick, and clear experience.

You will oversee response times, scheduling, and conversion, coach a team, and improve workflows with data-driven insights, in a role that shapes onboarding as the organization grows.

Qualifications

• Bachelor's degree or equivalent professional experience.
• 3+ years in a leadership role in healthcare operations, patient access, intake, admissions, or customer service.
• Background in healthcare, behavioral health, ABA, or a related field.
• A track record of coaching teams and improving operational results.
• Comfort working with metrics, Excel, and a CRM, EMR, or patient management platform.
• Strong communication, sound judgment, and a real commitment to the families you serve.

Responsibilities

• Manage, coach, and develop a team of intake representatives.
• Oversee incoming enquiries and referrals, ensuring prompt follow-up and supportive experience.
• Own the intake pipeline, focusing on response times, scheduling, and enquiry-to-admission conversion.
• Review performance data to spot bottlenecks and improve workflows.
• Handle complex intake cases and keep records accurate and consistent.
• Collaborate with clinical operations, staffing, credentialing, revenue cycle, marketing, finance, and analytics to smooth onboarding.

Full-Time - Hybrid - Up to $150,000 plus bonus

Our client is a fast-growing, multi-state ABA provider that wants to make a family's first contact with them warm, quick, and clear.

They are hiring a Director of Intake to lead the team behind that experience and to build the processes that keep it consistent as the organization expands. In this hybrid role you will own the whole journey from a family's first enquiry through to admission, managing the intake team and working closely with colleagues across the business.

What you'll do:
