Job summary

Lifelong Access seeks an Intake Coordinator to join our team and guide families through referrals and intake steps, coordinating forms, insurance, and scheduling for pediatric therapy services.

The role supports front desk operations, waitlist maintenance, and client scheduling, with a Monday–Friday schedule and some flexibility. Join a caring team committed to community supports and excellent service.

Qualifications

  • Minimum of high school diploma or GED.
  • Experience in an office setting, preferably medical.
  • Strong computer skills with Microsoft Word, Excel, Outlook and PowerPoint.
  • Excellent time management and organizational abilities.
  • Ability to work independently and with a team.
  • Strong interpersonal and listening skills.
  • Valid Illinois driver’s license and safe driving record.
  • Current proof of automobile insurance.

Responsibilities

  • Serve as point of contact for referrals and guide families through the referral process.
  • Serve as point of contact for intakes and coordinate necessary forms, insurance, and scheduling steps.
  • Maintain waitlist efficiently.
  • Coordinate scheduling of therapy clients.
  • Share front desk duties with 1–2 staff on a rotating basis.
  • Possibly handle weekly reporting.

Job description

Our mission at Lifelong Access is to connect individuals with developmental disabilities to their community by helping them break down barriers through a lifetime of meaningful supports. From birth to end of life, Lifelong Access provides a continuum of services and supports for families, children, teens, and adults including residential housing, vocational development, supported employment, high school transition, behavioral health counseling and services, and a wide variety of pediatric therapy supports. Lifelong Access is seeking an Intake Coordinator. As the largest provider of pediatric therapy services in McLean County, we are excited to continue growing our program with an exceptional team of professionals. Pay: $21–$22 per hour (based on experience)

Job Type: Full-Time (5 days per week) with some flexibility in hours. The regular weekday schedule is preferably 8:00 AM–4:00 PM or 10:00 AM–6:00 PM. The position will also include Saturdays from 8:30 AM–3:00 PM, with one weekday off to maintain a five-day workweek.

Primary responsibilities include:
  • Point of contact for referrals (families interested in services); responsible for guiding families through referral process.
  • Point of contact for intakes (clients ready to begin services); responsible for guiding families through intake steps -- necessary forms, insurance, and coordination with scheduling
  • Responsibility for maintenance of waitlist
  • Point of contact for scheduling of therapy clients
  • Shares front desk duties with 1-2 other support staff; rotational basis
  • May be responsible for some weekly reporting
Qualifications:
  • Minimum of high school diploma or GED
  • Previous experience working in an office setting, preferably in a medical environment
  • Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook and PowerPoint.
  • Strong organizational skills and attention to details.
  • Excellent time management skills with proven ability to meet deadlines.
  • Ability to work effectively despite interruptions and distractions.
  • Ability to function and work both independently and as a collaborative team member.
  • Effective listening and interpersonal communication skills.
  • Valid Illinois driver’s license with safe driving record.
  • Current proof of automobile insurance
Working Conditions

While performing the duties of this job, the employee will typically work in an office setting. Employee will have prolonged periods of sitting at a desk and working on a computer. The noise level in the work environment is usually moderate.
