Job summary

Colorado Women’s Center is seeking an Intake Coordinator to be the first voice for new clients, answering questions and pairing them with the right clinician. This in-office role is phone-based, client-facing, and part of a supportive, mission-driven team.

You will coordinate appointments, maintain patient records, and ensure HIPAA compliance while collaborating with intake and operations for continuous care. The schedule is full-time, Monday–Friday, in Denver.

Qualifications

• 2+ years in healthcare or mental health intake, client coordination, or phone-based sales.
• Proficiency with Google Workspace.
• Experience with EHR/EMR and CRM systems.
• Experience in mental health, behavioral health, or wellness intake is a plus.

Responsibilities

• Serve as the first point of contact for prospective clients by phone, email, and text.
• Listen with empathy and guide clients to the clinician who fits their needs.
• Schedule and coordinate appointments in client management systems.
• Keep client information and billing details accurate in electronic health records.
• Communicate clearly, professionally, and compassionately in every interaction.
• Work with intake and operations teams to keep care continuous.
• Follow HIPAA confidentiality standards.
• Take part in weekly team meetings and ongoing training.
• Support the Denver office, including property management and day-to-day operations.

Location

This position’s primary place of work is our Denver office at 1764 Platte St., a historic building on Platte Street between Union Station and Lower Highlands. It’s easy to reach on foot, by car, by bike, or by scooter, and it’s within walking distance of some of Denver’s best restaurants.

The Role

As an Intake Coordinator, you are the first voice many women hear when they take the step toward therapy. You listen, answer their questions, and match each new client with the clinician who fits her needs best. This is a phone-based, client-facing role. You work independently and stay closely connected to a supportive, mission-driven team.

What You’ll Do

• Serve as the first point of contact for prospective clients by phone, email, and text
• Listen with empathy and guide clients to the clinician who fits their needs
• Schedule and coordinate appointments in our client management systems
• Keep client information and billing details accurate in our electronic health records
• Communicate clearly, professionally, and compassionately in every interaction
• Work with the Intake and Operations teams to keep care continuous
• Follow HIPAA confidentiality standards
• Take part in weekly team meetings and ongoing training
• Support the Denver office, including property management and day-to-day operations

• Experience in a mental health, behavioral health, or wellness intake setting is a plus

Schedule

Full-time, in office, Monday through Friday, 9:00 am to 5:00 pm.

Compensation and Benefits

Pay range: $22.50–$25 per hour.
