Job Title: Administrative Assistant – Independent Insurance Agency

Reports To: Agency Owner / Office Manager

We’re looking for a dependable Administrative Assistant to help keep our office running smoothly and support our growing client base.

Position Summary:

The Administrative Assistant plays a key role in supporting our agents and providing excellent service to our clients. This role involves handling daily office operations, assisting with policy servicing, and occasionally supporting light marketing and social media efforts.

Key Responsibilities:

Office Administration & Client Support

  • Answer and route phone calls and emails with professionalism and a positive attitude
  • Welcome clients and assist with walk-in inquiries
  • Process new business applications, endorsements, cancellations, and policy updates
  • Maintain organized and accurate customer records in our agency management system
  • Assist with billing questions, payment processing, and policy documentation
  • Schedule client appointments and follow up on pending items
  • Ensure the office is stocked, tidy, and running efficiently

Marketing & Social Media Support (Light Duty)

  • Assist with occasional client communications, birthday cards, or policy review reminders
  • Help create and schedule occasional posts on Facebook, Instagram, or other platforms
  • Coordinate with the team to highlight insurance products, client success stories, community involvement, etc.
  • Support local marketing efforts, community events, or referral programs

Qualifications:

  • Prior administrative or customer service experience (insurance background preferred)
  • Organized, dependable, and proactive
  • Detail-oriented with strong organizational skills
  • Basic computer skills; experience with Microsoft Office.
  • Familiarity with or willingness to learn insurance software systems
  • Familiarity with social media platforms and content creation tools (Canva, Meta Business Suite, etc.)
  • Bilingual (preferred but not required)
  • Must be able to handle confidential information with discretion
