Aire Serv of Smith County is seeking an Installation, Parts & Equipment Coordinator to be the hub connecting our sales team, installation crews, warehouse, vendors, and customers—making sure every HVAC installation is fully prepared, scheduled correctly, and completed with excellence.

You'll thrive on organization, planning, and ensuring nothing falls through the cracks, delivering an outstanding customer experience and supporting our team’s success.

Qualifications

• Experience in HVAC, Plumbing, Construction, Home Services, or Project Coordination.
• ServiceTitan experience is a plus.
• Experience with permits, scheduling, or logistics is helpful.
• Strong computer and administrative skills.
• Excellent written and verbal communication.
• High level of organization and accuracy.

Responsibilities

• Schedule HVAC system installations and coordinate technicians, installers, warehouse staff, and sales.
• Order and track equipment and parts; ensure jobs are prepared before installation day.
• Communicate with customers throughout the installation process and prepare permits and registrations.
• Register equipment, maintain records in ServiceTitan, and verify invoices and documentation.
• Complete post-installation follow-up calls to ensure customer satisfaction.
• Assist with financing paperwork and manufacturer warranty processing.
• Support Customer Service during peak seasons.

What You'll Be Doing

As our Installation Coordinator, you'll manage every step after a customer says "Yes."

Your responsibilities include:

• Scheduling HVAC system installations
• Coordinating technicians, installers, warehouse staff, and sales professionals
• Ordering and tracking equipment and parts
• Ensuring every job is fully prepared before installation day
• Communicating with customers throughout the installation process
• Preparing permits, AHRI documentation, warranty registrations, and customer packets
• Registering equipment and maintaining accurate records in ServiceTitan
• Verifying invoices and documentation for accuracy
• Completing post-installation follow-up calls to ensure customer satisfaction
• Assisting with financing paperwork and manufacturer warranty processing
• Supporting our Customer Service Team during peak seasons
